About the Role
This role sits at the center of daily office life for a leading professional services organization in Victoria, BC. The Workplace Services Professional owns front-of-house operations, facilities coordination, client hospitality, and vendor management, keeping the office safe, welcoming, and ready for employees, clients, and guests at all times.

Key Responsibilities
1. Serve as the primary point of contact for employees, clients, guests, and vendors, delivering reception and switchboard services with a warm, professional presence
2. Manage visitor registration, security access, meeting room bookings, and catering requests from intake through setup and teardown
3. Coordinate hospitality for client meetings, leadership events, town halls, recruiting events, and employee functions
4. Maintain office supply inventories, café supplies, and kitchen services, and process invoices, purchase requests, and vendor agreements
5. Act as the local liaison with building management, maintenance providers, and workplace vendors, coordinating repairs and service calls
6. Monitor office cleanliness, functionality, and appearance, and oversee furniture, fixtures, and equipment inventories
7. Support office events, workspace reconfigurations, move management activities, and confidential waste and security processes
8. Maintain workplace records, operational documentation, and service requests across multiple management systems
Required Skills & Experience
- 3 to 5 years of experience in office operations, workplace services, hospitality, facilities coordination, or administrative management
- Exceptional customer service and relationship management skills
- Strong organizational and project coordination abilities with the capacity to prioritize competing demands independently
- Proficiency with Microsoft Office Suite, workplace management systems, and service management platforms
- Solid financial administration skills including purchasing and invoice processing
- Sound judgment, discretion, and clear written and verbal communication
Preferred Skills
- Experience coordinating events, catering, and workplace experience programs
- Experience managing multiple vendors and stakeholder relationships simultaneously
