Contract Administrator

Summary

MatchBox Consulting Group is seeking a Project Contract Administrator on behalf of our client for a 1-year contract supporting a major transmission infrastructure project in Edmonton. The successful candidate will support a team of Project Managers throughout the full contract lifecycle, from planning and execution through performance management and closeout.

This role is well suited to someone with 5+ years of contract administration or project controls experience, particularly within utilities, energy, or heavy construction. You will work closely with project management, procurement, legal, engineers, and external vendors on contracts, purchase orders, changes, claims, payments, and contract performance.

Location: Edmonton, AB – Hybrid

Job Type: Contract – 1 year

Schedule: 7:30 AM – 4:00 PM, Monday to Friday

Responsibilities

• Develop and assist with managing contracts and Master Service Agreements based on project requirements.

• Ensure contracts and purchase orders align with applicable contract execution, spending authority, and procurement requirements.

• Engage vendors, consultants, and contractors for quotes, estimates, and proposals.

• Support negotiation of claims, variations, changes, and disputes in collaboration with Project Management, Legal, and other stakeholders.

• Communicate contract changes to key stakeholders.

• Manage the contract lifecycle from planning and execution through performance and closeout.

• Work with Procurement, Project Managers, and Project Engineers to set up and issue purchase orders.

• Create purchase requisitions and oversee the approval process and timelines.

• Interface with project teams, internal departments, and external vendors regarding cost, performance, progress, payments, reporting, tenders, and change orders.

• Monitor and report on contract performance.

• Receive goods and manage related activities in Oracle.

• Provide regular contract and project updates to the Project Manager and Senior Manager.

• Support procurement deliverables in alignment with the construction execution plan and project schedule.

Qualifications

Must-Haves

• 5+ years of experience in contract administration through full project life cycle

• Diploma or degree in Business Administration, Supply Chain Management, Commerce, Engineering Technology, or related field.

• Experience with construction or EPC contract types, such as lump sum, unit rate, and time & materials.

• Experience with purchase order management and procurement/requisition workflows.

• Experience supporting change orders, variations, claims, or disputes.

• Strong ability to work across Project Management, Procurement, Legal, Engineering, and external vendors.

• Experience working in a utility, energy, heavy construction, or similar environment is preferred.

Nice-to-Haves

• Experience with Oracle.

• Familiarity with Contract Execution and Spending Authority Policy (CESAP).

• Experience working within a regulated utility environment.

• SCMP (Supply Chain Management Professional) designation.

• PMP certification.

• Legal or paralegal background.
