Job Details Salary: $55,053 to $82,580 Vacation: 20 Days Shift structure: Monday to Friday, 7.25 hours per day Primary location: Edmonton or Calgary (Remote) Union: Exempt FTE: 1.0 Status : Permanent Remote/Multi-site About the Program You will be a part of a team that works within community schools, right where children live and learn.

The CASA Classrooms program provides individual and group therapy, psychiatric care, medication management and schooling according to each student’s individual need. CASA Classrooms are CASA ’ s model for school-based mental health service.

The program is delivered in partnership with the Government of Alberta, community partners and school divisions.

About the Role The Program Administrator provides provincial coordination and operational oversight for administrative activities supporting the CASA Classrooms program.

The role primarily supports the administrative functions for all Program Managers and supports CASA Classroom teams to coordinate administrative workflows, support consistency across regions and facilitate effective communication, scheduling and documentation practices.

The Program Administrator supports smooth program functioning by overseeing shared administrative processes, managing escalations, coordinating onboarding and training logistics, and maintaining program-level tracking and reporting tools.

The role applies sound judgment, manages competing priorities and supports alignment across multiple sites within a provincially-coordinated environment.

The Classrooms Program Administrator will: Provide provincial coordination of administrative operations supporting the CASA Classrooms program across all regions.

Act as the primary administrative partner to Program Managers for CASA Classroom-related operational needs.

Coordinate regional administrative workflows to ensure consistency, efficiency, continuity of programming and program alignment.

Monitor operational issues, trends and risks impacting CASA Classrooms administration and escalate appropriately.

Coordinate updates to templates, trackers, shared inboxes, calendars and documentation practices as necessary to ensure consistency.

Coordinate administrative onboarding logistics for new CASA Classrooms staff, including timelines, documentation, access coordination and training requirements.

Support continuity by documenting processes and ensuring administrative knowledge is maintained and accessible.

Coordinate scheduling and logistics for provincial meetings, Program Manager meetings and working groups.

Manage or oversee shared inboxes and calendars related to CASA Classroom operations, ensuring timely and appropriate responses.

Facilitate communication between Program Managers, CASA Classroom teams and external partners as required.

Prepare summaries, reports and data extracts to support Program Managers and leadership decision-making.

Coordinate administrative aspects of ordering, VISA reconciliation, billing, invoicing or reporting processes as required Knowledge, Skills and Abilities Proficiency in Microsoft 365 Suite including SharePoint, Teams, Outlook and Excel.

High level of accuracy with data entry.

Excellent verbal and written communications skills.

Excellent attention to detail, multitasking, organizational and time management skills.

Demonstrated ability to take initiative, prioritize and navigate shifting priorities as needed.

Must be able to complete assigned duties independently and take strong initiative to action decisions and identify future direction.

Ability to work with sensitive and confidential materials and maintain a high level of confidentiality.

Ability to transcribe information and create meeting minutes from recordings or meetings.

Ability to maintain accuracy while multitasking or working under pressure.

Minimum typing of 50wpm with 95 per cent accuracy.

Qualifications and Experience Bachelor’s degree or diploma in business administration, office management or a relevant field, or related equivalency.

A minimum of five years of related administrative experience or related equivalency.

Conditions of Employment A satisfactory Criminal Records Check with Vulnerable Sector Search and Child Intervention Check.
