Description:
Reporting to Discipline Counsel, the Legal Coordinator provides a high level of confidential administrative and project support to a team of specialized legal professionals within the Office of Discipline Counsel, a group within the Office of University Counsel that prosecutes cases under the Code of Behaviour on Academic Matters.
In an environment that requires confidentiality and discretion, the incumbent is responsible for: providing ongoing logistical management of University Tribunal files, liaising with clients to manage the collection of documents and information with respect to various types of issues and litigation matters, managing and providing the full range of administrative supports to a team of licensed legal professionals; briefing legal professionals on issues as they arise, including identifying priorities, triaging requests and, where appropriate, recommending next steps; monitoring and maintaining a complex and confidential legal filing system and monitoring system for flagging important deadlines; scheduling and data entry; receiving and reviewing all correspondence for the Office of Discipline Counsel, screening and reporting on items, assigning priority, handling routine matters falling within established policies/practices, and applying judgement in decisions on distribution, consulting as appropriate.
The incumbent provides a broad range of support to the Office of Discipline Counsel in administering the operation of the Office and supports team initiatives and advances projects.
Qualifications Required:
I. EDUCATION:
College Diploma in legal/secretarial assistant or law clerk program or equivalent combination of education and experience.
II. EXPERIENCE:
Minimum five (5) years of experience providing administrative legal support. Experience supporting multiple stakeholders in a University environment is highly desirable. Experience interpreting and applying policies and procedures; knowledge of University administrative policies and procedures is an asset. Experience gathering and analyzing data for presentation. Demonstrated experience coordinating projects.
III. SKILLS:
Familiarity with Symplicity Advocate, iManage and SharePoint an asset.
Demonstrated high level of efficiency and independence in providing support to Legal Counsel. Excellent communication skills (written and verbal) and proficiency in producing briefing notes as appropriate for leadership at the University. Demonstrated skills at gathering information via meetings and written exchanges. Ability to maintain a high level of organization with a very high volume of files involving complex information and multiple stakeholders. Ability to prioritize, complete tasks and produce deliverables of a consistently high quality on time and with minimal supervision and demonstrate progressively improving problem-solving skills. Excellent skills in written communication and research.
IV. OTHER:
Strong analytical and problem-solving skills and ability to provide attention to details. Strong interpersonal skills, flexibility and sense of judgement in managing relationships. Demonstrated ability to manage conflicting priorities and deadlines maintain a high degree of professionalism and discretion. Balanced approach to providing consistently high quality of support to both Legal Counsel to whom the incumbent reports.
