Title: Administrative Assistant
As an Administrative Assistant, you will play an important role in supporting our Financial Advisors and Paraplanners while helping deliver professional and seamless experience to our clients. This is an excellent opportunity for someone who is organized, detail-oriented, and interested in gaining hands-on experience in the financial services industry.
Duties and Responsibilities:
- Provide day-to-day administrative and operational support to Financial Advisors and Paraplanners.
- Assist with preparing materials and documentation for client meetings and account reviews.
- Maintain accurate and up-to-date client records in accordance with company policies and compliance requirements.
- Respond to client inquiries in a timely, professional, and service-oriented manner, and coordinate follow-up as needed.
- Assist with the preparation and processing of applications and documentation for insurance and investment products.
- Support client service requests by preparing required forms, coordinating signatures and documentation, and following requests through to completion.
- Coordinate client appointments and meeting logistics, including scheduling, meeting room arrangements, Zoom links, and appointment confirmations.
- Review documents and paperwork for completeness and accuracy before submission and help ensure documentation meets applicable compliance requirements.
- Coordinate paramedical appointments between clients and service providers in connection with life and critical illness insurance applications.
- Communicate and follow up with clients, advisors, service providers, and internal team members to help ensure requests are completed efficiently.
- Assist with document organization, filing, data entry, and other administrative processes that support the day-to-day operations of the team.
- Other ad hoc duties as necessary
Qualifications:
- Post-secondary education
- Minimum 1 year of relevant working experience in financial services, insurance, wealth management, or a related industry
- Extremely detail oriented
- Proficient with technology (MS 365, Zoom, CRM software, etc.)
- Excellent written and verbal communication skills
- Able to work independently under pressure, prioritize tasks efficiently, and enjoy a fast-paced environment
- A results-oriented problem-solver with a strong sense of initiative
- Fluent in English and Cantonese, both written and spoken
- LLQP license is an asset
Base salary: $52,000 - $70,000 per year, commensurate with experience and qualifications
