Job Summary

The Specialist, HRIS - Workforce Management Systems is responsible for the administration, configuration, maintenance, optimization, and ongoing support of workforce management and human resource information systems, with primary responsibility for UKG Pro Workforce Management (WFM) and backup support for other HR systems, including Empath, the organization's core HRIS.

The role serves as the functional subject matter expert and primary HRIS resource for workforce management systems, ensuring that scheduling, time and attendance, leave management, workforce data, and related system processes are accurately configured, maintained, and aligned with organizational requirements. Working closely with Human Resources, Payroll, Finance, operational leaders, Information Technology, and external vendors, the Specialist supports system integrity, data quality, compliance, reporting, and continuous improvement initiatives.

The position focuses on system administration, configuration, testing, troubleshooting, reporting, and ongoing maintenance of workforce management systems. The role is not responsible for operational scheduling, timekeeping activities, or payroll processing, but provides the system support required to ensure these functions are effectively enabled and supported.

Key Responsibilities

  • HRIS & Workforce Management System Administration
    • Administer, maintain, and support UKG Pro Workforce Management (WFM), including Scheduling, Time & Attendance, Leave and Accrual Management, and Reporting modules.
    • Provide backup administration and support for additional HR systems, including Empath and the organization's core HRIS.
    • Configure and maintain business rules, pay rules, accrual calculations, scheduling parameters, eligibility profiles, workflows, organizational structures, and security roles.
    • Maintain system configuration documentation, standard operating procedures, change logs, and system records.
    • Monitor system performance and identify opportunities to improve efficiency, usability, data quality, and process effectiveness.
    • Coordinate and implement approved system updates, enhancements, upgrades, releases, and patches.
    • Participate in system governance activities and support ongoing HR technology initiatives.
  • Workforce Management System Support
    • Ensure workforce management systems are accurately configured and maintained to support organizational scheduling, time and attendance, leave management, workforce planning, and payroll-related processes.
    • Collaborate with Scheduling Offices, Timekeepers, Human Resources, Payroll, Finance, Managers, operational leaders, Information Technology, and vendors to investigate and resolve system configuration, data, and process issues.
    • Support organizational updates requiring system changes, including collective agreement provisions, pay practices, legislative changes, organizational restructures, and operational requirements.
    • Provide functional expertise and guidance regarding workforce management system capabilities, configuration options, and best practices.
    • Maintain alignment between workforce management processes and related HR, payroll, financial, and operational requirements.
  • Testing, Maintenance & Continuous Improvement
    • Coordinate and perform testing related to system upgrades, patches, enhancements, configuration changes, legislative updates, and process improvements.
    • Develop and maintain test plans, test scripts, validation documentation, and regression testing activities.
    • Investigate, troubleshoot, and resolve system issues, defects, and configuration discrepancies.
    • Work closely with Information Technology, system vendors, HR, Payroll, and Finance to support issue resolution and continuous improvement initiatives.
    • Identify opportunities to automate processes, streamline workflows, and improve user experience and system effectiveness.
    • Support change management, release management, and system optimization activities.
  • Payroll Support, Reporting & Data Integrity
    • Support Payroll through system audits, reconciliations, data validation, troubleshooting, and issue resolution.
    • Configure and maintain workforce management rules related to pay codes, premiums, accruals, overtime, schedules, and leave programs.
    • Develop, maintain, and distribute standard and ad hoc reports, dashboards, data extracts, and workforce metrics.
    • Monitor workforce management data to ensure accuracy, consistency, and integrity across UKG, Empath, the HRIS, Payroll, and related systems.
    • Partner with Human Resources and Finance to support workforce reporting, position management, budgeting, forecasting, labour analysis, and organizational planning requirements.
    • Perform regular audits and data quality reviews and coordinate corrective actions as required.
  • Stakeholder Support & User Enablement
    • Serve as a primary point of contact and escalation resource for workforce management system inquiries and support requests.
    • Provide functional and technical user support to Human Resources, Payroll, Scheduling Offices, Timekeepers, Managers, and other stakeholders.
    • Develop and maintain user guides, job aids, process documentation, and training materials.
    • Deliver system training, knowledge transfer, and user education sessions as required.
    • Build collaborative partnerships with stakeholders to encourage effective use and adoption of workforce management systems.
  • Backup HRIS Support
    • Provide backup support for other HR systems, including Empath and the organization's core HRIS.
    • Assist with system administration, configuration, testing, reporting, security administration, troubleshooting, and data maintenance activities across HR technology platforms.
    • Support cross-functional projects and initiatives involving HR, Payroll, Finance, Information Technology, and enterprise systems.
    • Contribute to business continuity planning and knowledge-sharing activities across the HRIS team.

Qualifications

  • Post-secondary education in Human Resources, Information Systems, Business Administration, Computer Science, or a related field.
  • Certified Human Resources Professional (CHRP) designation or HRIS-related certification is considered an asset.
  • Minimum three to five years of progressive experience supporting HRIS, workforce management, payroll, scheduling, or time and attendance systems.
  • Demonstrated experience administering and configuring UKG Pro Workforce Management (WFM), UKG Dimensions, or similar workforce management platforms.
  • Experience supporting unionized and non-unionized environments.
  • Experience with system configuration, testing, reporting, troubleshooting, data management, and process improvement initiatives.
  • Experience supporting HRIS integrations and cross-functional business processes is considered an asset.
  • Strong knowledge of workforce management, scheduling, time and attendance, leave management, payroll processes, and HRIS administration.
  • Understanding of employment legislation, collective agreements, payroll practices, and workforce management principles.
  • Strong analytical, problem-solving, and troubleshooting abilities.
  • Experience with system testing, release management, and change control processes.
  • Advanced reporting, data analysis, and data validation skills.
  • Excellent communication, documentation, customer service, and stakeholder management skills.
  • Ability to manage multiple priorities while maintaining a high degree of accuracy and attention to detail.
  • Advanced Proficiency with Microsoft Office applications, including Excel.

Compensation

At Baycrest, we take pride in ensuring our compensation structure is internally equitable and compliant with pay equity legislation. We believe compensation should be transparent, equitable, and reflective of your experience and growth. Our salary ranges are structured to support progression, from learning the role to demonstrating full proficiency.

The salary range for this position is $74,654 to $93,318 per year.

Your placement within the target hiring range will depend on your job-related knowledge, skills, abilities, and relevant education and experience, as well as considerations such as market conditions and internal equity. The starting salary will be determined using these factors to ensure fairness and consistency across the organization.
