Responsibilities
• Coordinate and execute complex project workflows for high-stakes client engagements, establishing seamless communication between consultants, candidates, and C-suite stakeholders.
• Administer client agreements, input sensitive contractual data, and manage client invoicing cycles accurately within specialized financial management systems.
• Manage complex executive calendars using Microsoft Outlook, balancing shifting schedules and prioritizing urgent requests across multiple international time zones.
• Produce and format elite client-facing documents, including comprehensive PowerPoint presentations, business proposals, status reports, and candidate assessments under tight deadlines.
• Oversee global database management by updating candidate bios, portfolios, and proprietary records within Salesforce and search platforms to ensure complete compliance.
• Orchestrate comprehensive domestic and international travel itineraries for senior partners and executive candidates, adhering closely to corporate travel policies.
• Audit and process detailed expense reports and financial submissions prior to management approval, maintaining a strict level of financial accuracy.
• Collaborate actively with the administrative office manager and internal administrative team to oversee general office workflows, greet high-profile visitors, and ensure meeting logistics are flawless.
• Deliver exceptional quality control across all written deliverables, ensuring flawless grammar, punctuation, and layout design align with premium brand guidelines.
• Participate in office-wide operational meetings and support the onboarding or peer-training of incoming administrative staff as requested.

Qualifications
Skills
• Mastery of advanced corporate software tools including Microsoft Outlook, PowerPoint, Teams, Word, SharePoint, and Adobe Acrobat.
• Proven capability in operating customer relationship management (CRM) systems like Salesforce and customized enterprise databases.
• Superior written and verbal English communication skills, with an elite specialization in professional proofreading, formatting, and structural editing.
• Exceptional proactive problem-solving and executive decision-making capabilities, demonstrating the confidence to resolve scheduling conflicts independently.
• High emotional intelligence, diplomacy, and absolute discretion when handling highly confidential corporate communications and board-level interactions.
• Superb organizational and time-management skills, with a proven history of successfully juggling competing priorities in high-pressure environments.
• Strong numerical aptitude and a foundational understanding of corporate accounting and billing cycles within professional services.

Requirements
• Minimum of 5 to 7 years of progressive experience as an Executive Assistant, Project Coordinator, or Senior Administrative Officer.
• Robust professional background operating within corporate consulting, professional services, legal frameworks, or Fortune 500 corporate environments.
• Extensive experience directly supporting senior partners, managing directors, or C-suite board-level executives.
• Proven stability and a clean career pedigree demonstrating long-term commitment and professional growth in prior organizations.
• Demonstrated ability to work fully in-office 4 to 5 days a week in the downtown Vancouver corporate headquarters.
• Willingness to undergo standard corporate background checks, including criminal and education verification, prior to final job placement.
