Requirements: - We need 4–6 years of hands-on CRM administration experience in a medium-to-large organization, including 2–3 years working with Microsoft Dynamics 365 Customer Engagement.
- We need strong experience across the Microsoft Power Platform, including Dataverse, Power BI, Power Query, DAX, Power Automate, and Power Apps.
- We need working knowledge of the Dynamics 365 security framework, including roles, business units, teams, and field-level security.
- We need experience managing Microsoft 365 and Entra ID, with an understanding of identity, access, and cybersecurity best practices.
- We need comfort with light coding and integration work, such as Power FX, JavaScript, or basic scripting, to support internal enhancements.
- We need a proven track record of building automations and improving data quality, data integrity, and business-process efficiency.
- We need strong analytical and problem-solving skills, along with the ability to create clear documentation and SOPs.
- We need excellent written and verbal communication skills and the ability to train and support non-technical users.
- We need post-secondary education in Computer Science, Information Systems, or a related discipline, or equivalent professional experience.
- Experience with Dynamics 365 Customer Insights, CRM integrations, nonprofit or fundraising operations, CASL, BC PIPA, PIPEDA, shared Dynamics environments, SQL, reporting fundamentals, and ALM/solution deployment would be an asset.
- Relevant certifications such as PL-200, PL-300, MB-910, MB-210, PL-600, SC-300, or MS-102 would be an asset.
Responsibilities: - We administer our Dynamics 365 environment on a daily basis, including Dataverse tables, forms, views, business rules, and solution and environment management across development, test, and production.
- We configure and maintain our core Dynamics 365 customer engagement applications in line with our organizational processes and centrally governed build.
- We manage application lifecycle and release activities by testing centrally managed updates and Microsoft releases before deployment and communicating changes to impacted staff.
- We distinguish between locally configurable items and centrally managed components, then escalate and coordinate changes as needed.
- We own the CRM security model, including security roles, teams, business units, field-level security, and least-privilege access reviews.
- We apply cybersecurity best practices such as access controls, MFA and conditional access alignment with Entra ID and M365, audit logging, and periodic access recertification.
- We support privacy and regulatory compliance for Canadian charities by implementing technical controls related to BC PIPA, PIPEDA, and CASL consent management.
- We protect the accuracy and auditability of gift-processing and charitable tax-receipting workflows so they remain CRA-compliant.
- We design, build, and maintain Power BI reports and dashboards for staff, departments, and leadership.
- We develop data models and measures using Power Query and DAX, and we refine existing reports to reduce duplication and improve reliability.
- We deliver fundraising, campaign, and donor analytics, and support reconciliation between the CRM and finance systems where needed.
- We build and maintain Power Automate flows and Power Apps to streamline data entry, reduce manual work, and strengthen data integrity.
- We design, build, and deploy in-house enhancements within Dynamics 365 while preserving the stability, security, and integrity of core CRM functionality.
- We use light coding and configuration where needed to extend CRM capability.
- We assess proposed enhancements for downstream impacts on data integrity, reporting, and existing integrations before implementation.
- We create guided data-entry experiences, validation rules, and duplicate-detection logic to keep records clean at the point of entry.
- We document, version, and monitor automations, and we resolve failures quickly while avoiding single points of failure.
- We administer and support Dynamics 365 Customer Insights, including segments, customer journeys, email marketing, and campaign or event workflows.
- We support CASL-compliant marketing execution, including consent capture, subscription management, and unsubscribe handling.
- We manage and support third-party CRM integrations, including document generation and address or data-validation tools.
- We work with stakeholders across departments to define appropriate coding and categorization of CRM data.
- We oversee data hygiene and quality through deduplication, standardization, validation, and enrichment, and we document the standards that sustain it.
- We design and manage data imports, exports, transformations, and migrations using platform and supported third-party tools.
- We serve as the primary contact for CRM issues across departments, triaging, troubleshooting, resolving, or escalating as appropriate.
- We author and maintain SOPs for CRM business processes and a searchable internal knowledge base.
- We provide onboarding and ongoing training so staff can use the platform confidently and consistently.
- We partner with departments to understand their goals and translate them into practical CRM solutions.
- We participate in the JFNA Dynamics 365 collective and bring back relevant improvements for our organization.
- We maintain vendor and partner relationships, tracking deliverables and issues through to resolution.
