Job Title: Coordinator II, Arts & Culture

Position Summary

The Arts and Culture Coordinator is responsible for supporting the planning, development, coordination, and delivery of municipal arts and culture programs, events, and initiatives. This role enhances community engagement, strengthens cultural development, and supports partnerships with local artists, cultural organizations, and community groups. The Arts and Culture Coordinator assists with program administration, marketing support, event logistics, and resource coordination to ensure high quality cultural experiences for residents and visitors.

Key Responsibilities

  • Assist in the development, coordination, and delivery of arts and culture programs, workshops, and community cultural initiatives.
  • Collaborate with vendors, local artists, cultural organizations, community groups, and partners to support event logistics, rental activities, and cultural programming, enhancing community engagement and successful program delivery.
  • Develop and implement marketing strategies to promote arts and culture events, programs, and facility rentals, including creating promotional materials, advertisements, and social media content to increase public awareness and participation.
  • Assist in research and data collection related to cultural programming, community participation, and arts sector trends.
  • Oversee the coordination of arts and culture events and facility rentals, including managing rental agreements, client and contractor communications, scheduling, logistics, event requirements, and on‑site support.
  • Support grant applications, sponsorship initiatives, and funding opportunities to enhance arts and culture programs and special events.
  • Prepare reports and financial settlements on events, marketing performance, and rental activities for departmental review.
  • Maintain accurate records related to program documentation, event planning, rental agreements, and marketing activities.
  • Address customer inquiries and provide exceptional service to event participants and rental clients.
  • Ensure all insurance related documentation is accurately completed and maintained, including that clients have the required liability insurance coverage prior to finalizing rental agreements.

Position Requirements

Education & Certifications:

  • Diploma in Arts Administration, Cultural Management, Event Management, or a related field.
  • Valid Standard First Aid, CPR-C and AED.

Experience:

  • Minimum 3 years of experience in arts and culture programming, event coordination, community cultural development, or related fields.

Knowledge, Skills, and Abilities:

  • Arts & Culture Knowledge: Strong understanding of community cultural programming, arts sector practices, and cultural development initiatives.
  • Event & Program Coordination: Strong skills in organizing, planning, and executing a variety of arts, culture, and community programs and events, including logistics such as scheduling, equipment coordination, set-up, and on-site support.
  • Marketing Proficiency: Ability to develop and implement marketing strategies across digital and traditional platforms.
  • Communication: Excellent written and verbal communication skills for engaging with the clients, partners, and the public.
  • Customer Service: Strong interpersonal skills to provide exceptional service to event participants, rental clients, and community partners.
  • Community Engagement: Ability to build and maintain positive relationships with artists, cultural organizations, community groups, and event participants.
  • Technical Proficiency: Proficiency in Microsoft Office, recreation management software, web‑based ticketing software, social media and graphic design software.
  • Organization: Ability to manage multiple projects, prioritize tasks, and meet deadlines effectively.
  • Problem‑Solving: Strong ability to identify issues and implement solutions efficiently.
  • Attention to Detail: High level of accuracy in coordinating event logistics and preparing promotional materials.

Working Conditions

  • Work is performed both in office and on-site for event support, including indoor and outdoor environments. Transportation between sites is the responsibility of the incumbent.
  • Standard business hours, Monday to Friday, with flexibility required to support programs, events and rental activities in the evening and on weekends.
  • Cognitive demands include working under pressure, especially during live or high-profile events, organizing detailed logistics for multiple programs and events running concurrently and evaluating program effectiveness using data and feedback, recommending improvements.
  • Physical demands include extended periods of sitting and looking at a computer screen, as well as standing for extended periods, walking, bending, lifting while assisting with event setup and takedown.

If selected for this role, you will need to provide:

  • Successful reference check (two work-related references, with a minimum of one being a direct supervisor)
  • Satisfactory Criminal Record and Judicial Matters Check
  • Successful Language Assessment (French/English), CBC level
  • Proof of certifications
