What will your typical day look like?

• Oversee day-to-day activities related to reactive and preventative maintenance programs and facility inspections;
• Supervise and coordinate vendors and contractors for general office maintenance and services;
• Provide oversight of interior assets, including furniture, fixtures, and equipment;
• Utilize internal ticketing software to monitor, prioritize, and resolve requests and issues;
• Manage service requests, including freight elevator deliveries, after-hours access, shredding services, and other workplace operation’s needs;
• Participate in the Health & Safety program, including responsibilities as a Fire Warden, First Aid provider, and Joint Health & Safety Committee ‘JHSC’ member;
• Support printing and scanning requests;
• Prepare and submit expense reports as required;
• Process purchases through Ariba for office supplies and coffee;
• Maintain office, kitchen, and office supply inventories, replenishing stock as needed;
• Maintain the cleanliness and organization of talent space to promote a welcoming workplace environment;
• Clean and restock coffee stations, including filling and emptying dishwashers, replenishing supplies (milk, sugar, paper towels, coffee etc.) and refilling coffee machines to ensure a consistent hospitality experience for staff and guests;
• Respond promptly and professionally to requests from internal and external clients; and
• Perform other related duties and administrative tasks as assigned.

Back up coverage for the following services:
• Reception Services
• Mailroom Services
• Meeting & Event Support/Hospitality – Delivery of meeting and event support services, including space booking, catering management, room preparation, hospitality service, and event teardown.

About the team

The members of the Workplace Services team possess a practical body of knowledge that is applied in the delivery of office support. It includes jobs in the areas of procurement, mailroom, security, concierge, delivery and distribution, reception, records, hoteling resource management and facilities management. The team leverages its knowledge of business operations and industry practices to deliver services that support the safe and efficient operation of the organization.

Enough about us, let’s talk about you

• Two to five years’ experience in facilities management, administrative support or customer service;
• Experience working with professionals in a fast-paced environment with often tight deadlines;
• Strong working knowledge of Microsoft Word, Excel, and Outlook;
• Experience with Ariba, ServiceNow, and Concur is considered an asset;
• Excellent verbal and written communication skills in English;
• Strong commitment to client-service, with a demonstrated ability to maintain firm and client confidentiality and exercise discretion in sensitive matters;
• Proven ability to build strong interpersonal relationships and work effectively as part of a team;
• Ability to respond to requests in a timely and professional manner;
• Strong attention to detail;
• Demonstrated ability to prioritize tasks based on importance and urgency;
• Proactive, highly organized, with exceptional multitasking skills and a collaborative, team-oriented mindset;
• Professional attitude and demeanor;
• Enthusiasm for continuous learning relevant to the role;
• Support for agile workplace practices, including space reservation and resource management;
• Ability to lift 40 pounds;
• Flexibility to meet scheduling requirements, which includes shifts that generally start at 8:30am and finish at 5:00pm. Overtime may occasionally be required;
• The successful candidate will be required to complete and maintain First Aid certification as a condition of employment if not already certified. Training will be provided at the employer’s expense.

Total Rewards


The salary range for this position is $47,000 - $78,000, and individuals may be eligible to participate in our bonus program.
