About the OpportunityWe are seeking a dynamic, forward thinking and experienced
Executive Assistant to the President who thrives in a fast-paced, entrepreneurial and sales-centric environment. This is a unique opportunity for a professional who enjoys operating at the intersection of executive support, sales operations, customer engagement, and business administration - similar to a Chief of Staff in a way. As a trusted partner to the President, you will be responsible for managing executive priorities while also playing a key role in supporting sales initiatives, customer relationships, business development activities, and special projects. This is a highly visible position requiring exceptional organizational skills, business acumen, and the ability to manage multiple priorities with professionalism and discretion. This role is located in Mississauga, Ontario and occasional business travel in and out of country may be required. Note that the worksite location is best accessed by car and offers free onsite parking.
Key Responsibilities for the Executive Assistant opportunity in Mississauga, ON include, but are not limited to:Executive Support- Provide comprehensive support to the President, acting as a trusted business partner.
- Manage a complex and ever-changing executive calendar, scheduling meetings and coordinating priorities.
- Prepare executive correspondence, presentations, reports, agendas, and meeting materials.
- Coordinate domestic and international travel arrangements, itineraries, accommodations, and related logistics.
- Screen, prioritize, and manage communications on behalf of the President - gatekeeper.
- Maintain absolute confidentiality while handling sensitive business information.
- Anticipate executive needs and proactively resolve scheduling and operational challenges.
Sales & Business Development Support- Serve as a key liaison between the President, customers, sales teams, and external partners.
- Coordinate sales activities, customer communications, proposals, presentations, and follow-up actions.
- Support customer meetings, trade shows, industry events, and business development initiatives.
- Track opportunities, commitments, and action items to ensure timely execution.
- Assist with CRM administration, sales reporting, pipeline tracking, and business analytics.
- Prepare customer-facing materials and support strategic account management activities.
- Help identify and implement process improvements that enhance sales effectiveness and business performance.
Project & Operations Coordination- Coordinate cross-functional projects and initiatives on behalf of the President.
- Track deliverables, deadlines, and project milestones across multiple stakeholders.
- Organize leadership meetings, team events, strategic planning sessions, and company initiatives.
- Develop and improve administrative processes that increase efficiency and organizational effectiveness.
- Build strong relationships internally and externally to support business objectives.
Qualifications for the Executive Assistant opportunity in Mississauga, ON include, but are not limited to:- Minimum 5-8 years of experience supporting senior executives, preferably at the President, CEO, or executive leadership level, with career commitment in your history
- Experience supporting sales, business development, customer success, or commercial operations is strongly preferred.
- Exceptional organizational and project management skills with strong attention to detail.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Proven ability to manage multiple priorities in a fast-paced environment.
- Outstanding written and verbal communication skills.
- Strong business acumen and professional executive presence.
- Demonstrated ability to work independently, exercise sound judgment, and solve problems proactively.
- Experience coordinating travel, meetings, events, and strategic initiatives.
- Ability to build trust and maintain confidentiality with senior leaders, customers, and stakeholders.
- Valid driver's license and ability to travel occasionally as required.
