Job description
Company: Ell’Events Inc. Position: Event Manager Employment Type: Permanent, Full-Time Number of Vacancies: 1 Salary: CAD $65,000 per year Hours of Work: Minimum 30 hours per week Employment Start Date: As soon as possible Work Location: Multiple Locations Work Setting: Event production company; office, warehouse, event venues, client locations, indoor and outdoor event sites. Job Summary Ell’Events Inc. is seeking an experienced Event Manager to plan, coordinate, and oversee the operational delivery of public events, festivals, seasonal attractions, experiential entertainment projects, and other event productions. The Event Manager will be responsible for event planning and execution, production schedules, budgets and cost control, event layouts and site plans, staff and contractor supervision, vendor coordination, event logistics, installations and dismantling, equipment coordination, health and safety compliance, guest operations, and the resolution of operational and technical issues. The position requires a combination of event management experience, operational leadership, production knowledge, technical understanding, creative problem-solving, and the ability to manage multiple projects in fast-paced event environments. Job Duties The Event Manager will: • Plan, organize, coordinate, and oversee the preparation, implementation, operation, and completion of public events, festivals, seasonal attractions, experiential entertainment projects, and other event productions. • Develop and coordinate event plans, operational timelines, production schedules, installation and dismantling schedules, staffing requirements, equipment requirements, site layouts, visitor circulation plans, and operational procedures. • Coordinate multiple events and operational projects concurrently, establish priorities, allocate personnel and operational resources, and ensure that deadlines and production requirements are met. • Participate in the preparation and monitoring of event budgets, project cost estimates, supplier and contractor quotations, purchasing requirements, equipment and material requirements, operational expenses, and cost-control measures. • Develop, review, interpret, and implement event site plans, layouts, production drawings, installation plans, equipment placement plans, and visitor-flow plans. • Participate in the development and operational implementation of event concepts, themed environments, attractions, guest experiences, displays, scenic elements, installations, and other creative event features. • Coordinate with clients, venue representatives, suppliers, vendors, contractors, production personnel, entertainment providers, and equipment suppliers to ensure that event requirements and project deliverables are completed. • Schedule, assign, coordinate, and supervise event employees, temporary workers, production crews, installation crews, contractors, and other personnel. • Conduct operational briefings and communicate work assignments, production schedules, operational priorities, site requirements, and safety procedures. • Coordinate event logistics, including transportation schedules, deliveries, truck loading and unloading, equipment movement, material handling, storage, inventory control, site access, and allocation of operational resources. • Oversee and participate in event installations, builds, daily operations, maintenance activities, dismantling, and strikes involving temporary structures, displays, scenic elements, large props, lighting equipment, audiovisual equipment, inflatables, attractions, and other event infrastructure. • Coordinate hands-on production, fabrication, construction, and installation activities involving carpentry, production materials, temporary structures, lighting, audiovisual equipment, displays, scenic elements, props, and related production components. • Coordinate the safe use of hand tools, power tools, production equipment, forklifts, scissor lifts, boom lifts, aerial work platforms, and material-handling equipment by appropriately trained and authorized personnel. • Coordinate the setup, operation, inspection, troubleshooting, and maintenance of event attractions, inflatables, interactive equipment, lighting systems, audiovisual systems, generators, temporary power-distribution equipment, screens, digital displays, and other technical event infrastructure. • Identify and resolve operational, logistical, staffing, production, equipment, technical, vendor, and customer-service issues and implement corrective actions and contingency plans where required. • Monitor event sites for hazards, unsafe conditions, equipment issues, access concerns, visitor-flow problems, and other operational risks and enforce applicable health and safety procedures. • Oversee visitor flow, line management, ticketing and admissions operations, guest-service requirements, vendor operations, and high-volume event operations. • Maintain operational schedules, checklists, inventory records, incident reports, event records, production notes, supplier information, expense information, and other required operational documentation. • Provide Company management with regular updates regarding event progress, budgets, staffing, schedules, operational risks, equipment requirements, incidents, and project status. • Participate in post-event evaluations and recommend improvements to event operations, production methods, staffing, logistics, safety procedures, guest experience, cost efficiency, and future event planning. Employment Requirements Education: A university degree or college diploma in event management, hospitality management, business administration, project management, design, production management, or a related field is preferred. An equivalent combination of education, training, and relevant professional experience may be considered. Experience: Minimum 3 years of relevant professional experience in event management, event production, festival operations, experiential entertainment, live events, attractions, or a closely related field. Experience coordinating large-scale public events, festivals, seasonal attractions, or high-volume event operations is an asset. Required Skills and Competencies • Strong event planning, production, and operational management skills. • Experience coordinating event budgets, quotations, purchasing requirements, suppliers, vendors, and contractors. • Experience supervising event staff, production crews, contractors, and temporary workers. • Ability to read, interpret, and implement event layouts, site plans, production drawings, and installation plans. • Knowledge of event logistics, installations, dismantling operations, inventory management, equipment coordination, and site operations. • Knowledge of occupational health and safety procedures applicable to event production environments. • Strong organizational, leadership, communication, decision-making, and problem-solving skills. • Ability to manage multiple projects, priorities, and deadlines in fast-paced operational environments. • Ability to respond to operational problems and make time-sensitive decisions during live events. • Ability to work independently and collaboratively with management, employees, contractors, vendors, clients, and other stakeholders. • Ability to work evenings, weekends, holidays, extended shifts, indoors, outdoors, and in varying weather conditions based on event and production schedules. • Ability to travel to event venues, warehouses, production facilities, client locations, and other work sites as required. Assets The following qualifications and experience are considered assets: • Experience with event fabrication, carpentry, scenic production, temporary structures, displays, and large-scale event installations. • Experience using hand tools and power tools used in event production and installations. • Forklift certification or experience operating material-handling equipment. • Scissor lift, boom lift, or aerial work platform certification or experience. • Fall-protection or working-at-heights training. • First Aid and CPR certification. • Experience with amusement devices, attractions, inflatables, or interactive event equipment. • Experience coordinating audiovisual equipment, lighting systems, generators, temporary electrical distribution, screens, and digital displays. • Experience developing event layouts, operational site plans, production drawings, or creative event concepts. Physical Requirements • Ability to stand and walk for extended periods during event operations. • Ability to work indoors and outdoors in varying weather conditions. • Ability to bend, climb, carry, move, and handle event materials and equipment as reasonably required by the position. • Ability to safely lift and carry up to 50 lbs independently, with heavier items handled using team lifting or mechanical assistance where appropriate.
