SB Canada is seeking a Purchasing & Administrative Assistant to join our Western Canada team. Key Responsibilities of the Role · Be an active participant in SB Canada's Health and Safety Program, helping to foster a positive safety culture as we continue to move from compliance to care. · Work as an internal resource to Project Teams to support the effective management and delivery of projects throughout Western Canada. · Support the management and tracking of project resources, including personnel, equipment, and project-related purchases. · Track project invoicing and support Project Managers and Coordinators with cash flow management. · Develop, maintain, and report on key performance indicators (KPIs). · Create and track purchase orders, receive costs within the financial system, and generate project cost reports. · Assist with the reconciliation of third-party invoices and project-related documentation. · Provide administrative support to project teams, including document preparation, filing, and reporting. · Assist Operations with workforce planning and union dispatch requisitions. · Support onboarding activities for new employees and assist with office orientation as required. · Prepare and witness statutory declarations and other project-related documentation. · Coordinate employee travel, accommodations, and camp logistics for project personnel. · Assist with receiving and processing client payments and related banking activities. · Coordinate shipping, receiving, and courier services for project and office requirements. · Assist with the preparation and coordination of trade shows, industry events, and client engagement activities. · Support office operations, including office supply inventory, stationery orders, and general administrative requests. · Organize company meetings, employee events, and team-building activities, including catering and venue arrangements. · Format, edit, and prepare correspondence, reports, presentations, and other business documents. · Coordinate office maintenance requests and liaise with building management and service providers. · Maintain business licenses, memberships, subscriptions, and other corporate registrations. · Travel periodically to project sites and other company offices as required to support business operations. Qualifications – What Will Make You Successful Education: Certificate or Diploma in Office Administration, Business Administration, or a related field. Experience: - 1-3 years of experience in project administration, project coordination, construction administration, office administration, or business support roles. - Experience supporting construction, engineering, heavy civil, industrial, or infrastructure projects is considered a strong asset. - Experience assisting project teams with documentation management, reporting, invoicing, purchasing, logistics, or workforce coordination is preferred. Soft Skills: - Strong organizational and time management skills. - Excellent verbal and written communication skills. - High attention to detail and accuracy. - Strong interpersonal and customer service skills. - Ability to manage multiple priorities in a fast-paced environment. - Self-motivated with the ability to work both independently and collaboratively. - Professional, proactive, and solution-oriented mindset. Preferred Skills: - Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint. - Experience working with financial, ERP, project management, or document management systems. - Experience creating and tracking purchase orders, project costs, invoices, and project-related documentation. - Familiarity with construction administration, project controls, budgeting, scheduling, and reporting processes. - Experience supporting project managers, operations teams, and field personnel. - Knowledge of unionized workforce environments is considered an asset. - Experience coordinating travel, accommodations, camp logistics, and workforce onboarding is considered an asset.
