Your Role as a Client Payment Support Coordinator: The Client Payment Support Coordinator is responsible for supporting clients with payment-related inquiries, banking information updates, payment schedule changes, direct deposit changes, and Pre-Authorized Debit administration. This is a high-volume client service and administrative role that requires strong communication skills, attention to detail, accuracy, confidentiality, and the ability to manage a busy email inbox and client calls. The role also supports the firm’s banking operations, daily PAD processing, accounts payable, deposits, trust account administration, Commissioner stamp coordination, and financial recordkeeping using systems such as Ascend and QuickBooks Online. Note on Role Positioning: This is not a traditional banking, accounting, or bookkeeping-only role. It is a client-facing payment support role with banking administration, daily PAD processing, trust account support, Commissioner stamp coordination, and financial operations responsibilities. Key responsibilities: Client Payment Support and Service - Respond to high-volume client inquiries by email and phone in a professional, timely, and service-focused manner. - Manage the Client Payment Support / Banking Department inbox, including approximately 80-100 emails per day, and action requests within established service standards. - Handle approximately 10-20 client calls per day relating to payment schedules, banking information, direct deposit, and payment issues. - Assist clients with changes to banking information, direct deposit details, and payment arrangements. - Update client payment schedules and account information in Ascend and other firm systems. - Investigate and help resolve payment discrepancies, banking issues, NSF payments, and client account inquiries. - Communicate professionally with clients, internal departments, vendors, and financial institutions regarding payment and banking matters. Payment Administration and Banking Operations - Process incoming and outgoing payment requests accurately and within established service standards. - Process daily Pre-Authorized Debit (PAD) payment runs in a timely and accurate manner. - Set up, amend, suspend, and cancel Pre-Authorized Debit (PAD) agreements. - Process NSF payments, update client accounts, and complete required payment adjustments. - Prepare and process daily cash and cheque deposits, ensuring funds are deposited promptly and accurately. - Attend the bank as required, typically one to two times per week or as business needs require, including for deposits or other banking-related tasks. - Open and administer “in trust” accounts for Division I Proposals in accordance with firm procedures. - Coordinate Commissioner stamp procedures, including renewals and new applications. - Maintain accurate banking records, payment documentation, and electronic filing systems. Accounts Payable and System Support - Process vendor invoices and accounts payable transactions using QuickBooks Online. - Assist with month-end and year-end accounting procedures as required. - Maintain accurate records in Ascend, QuickBooks Online, Outlook, Excel, and other systems used by the firm. - Support internal teams with payment-related information, file updates, banking documentation, trust account information, and related administrative requests. Compliance, Confidentiality, and Process Improvement - Ensure all payment, banking, trust account, and related administrative activities comply with firm policies, trust accounting requirements, and applicable regulatory standards. - Maintain confidentiality and exercise discretion when handling sensitive client, creditor, financial, and company information. - Identify opportunities to improve banking procedures, payment workflows, client service efficiency, and internal controls. - Perform other related duties as assigned to support the Finance and Operations teams. What we are looking for: We are looking for someone who is client-focused, organized, accurate, dependable, and comfortable working with sensitive financial information. The right candidate will be able to balance client communication, payment changes, banking updates, daily PAD processing, system accuracy, and internal follow-up while maintaining a high level of professionalism and confidentiality. - Experience in client service, payment administration, office administration, financial administration, bookkeeping, insolvency administration, or a related environment. - Minimum 2 years of experience in a role involving client inquiries, payment processing, accounts payable, banking administration, or financial records. - Experience processing payments, Pre-Authorized Debits (PADs), NSF payments, banking updates, client payment arrangements, or trust account-related administration is preferred. - Experience with Ascend or insolvency software is an asset. - Experience with QuickBooks Online or comparable accounting software is an asset. - Proficiency in Microsoft Office, particularly Outlook and Excel. - Strong attention to detail with a high level of accuracy and accountability. - Excellent organizational, time management, and prioritization skills. - Strong analytical and problem-solving abilities. - Excellent verbal and written communication skills, with comfort handling client calls and high-volume email communication. - Ability to manage multiple priorities while meeting deadlines in a fast-paced environment. - Ability to maintain confidentiality and exercise discretion when handling sensitive financial information. - Demonstrated commitment to providing excellent internal and external customer service.
