Title: Coordinator of Systems Applications Start Date: Immediate Position Type: Permanent Position Open To: Internal & External Applicants Posting Overview: The Coordinator of Systems Applications, reporting to the Supervisor of Application Services, is responsible for the direct supervision, planning and coordination of the Student Management System (SMS) team and the Records Management-Student Records (RMSR) team. They will plan, coordinate, analyze, recommend and develop processes and software for integration of applications with other departments throughout the board. The Coordinator will plan, organize and communicate all SMS application and hardware upgrades to board and school staff. They will plan and participate in board projects for major upgrades and third-party software for integration with the SMS system. They will be required to work closely with the Program departments during Ministry Reporting for Grant Funding submission cycles. They will work closely with the Planning & Reporting department throughout the year to ensure SMS Ministry compliancy with regards to Ministry Reporting for Grant Funding and ministry auditing requirements. This position is responsible for ensuring that all Ministry required data is submitted to the multiple Ministry and Provincial agencies on a regular and precise timeline. Responsibilities also include analyzing software vendor updates to assess operational impacts, updating internal documentation, and communicating timely procedural changes with stakeholders and to schools. Additionally, the position requires managing student records workflows. The Coordinator will liaise with other school boards in Ontario to gather, analyze and recommend changes with regards to the SMS and RMSR software and processes. The coordinator supervises a team of unionized and non-union staff to effectively and efficiently deliver student management system and student records services. Qualifications/Experience: • Three-year university of college diploma in Computer Science is a minimum. Equivalent related experience would be considered; • Five years related experience in supporting and managing student management systems; • Extensive knowledge of SMS systems, SQL and Microsoft Visual Studio is a requirement; • At least 3 years with database systems and/or software development is required. Other Key Skills & Knowledge: • Analyze, plan, organize and implement SMS software upgrades and patches to the applications/systems and database platforms; • Provide planning, technical support and work around solutions for numerous departments during Ministry Reporting for Grant Purposes submission periods; • Provide knowledge, expertise and advice regarding application processes, database configuration, software development, interfaces, data migration, data population and reporting; • Excellent communication and interpersonal skills; • Plan and lead biweekly team meetings and special project meetings with multiple departments; • Excellent prioritization skills; must be able to excel in a challenging work environment with constantly changing priorities and a mixture of project and production tasks; • Excellent technical knowledge and ability, analytical and problem solving skills; • A confident self-starter who uses their initiative to resolve complex problems and works well with system users and team members; • All other duties as assigned by the Supervisor of Applications Services.
