The Advancement department plays a pivotal role in building and sustaining meaningful relationships with alumni and other stakeholders around the world, fostering engagement, philanthropy, advocacy, and leadership in support of Ivey’s mission. Within Advancement, the Campaign team plays a central role in planning, coordinating, and advancing the School’s fundraising priorities. As Ivey embarks on the largest campaign in its history, the Campaign team will help drive a significant period of growth, momentum, and opportunity for the School.

Position Overview:

The Campaign Associate provides comprehensive coordination and administrative support to the Director, Campaign Management, contributing to the effective planning and execution of campaign operations, governance, volunteer engagement, and related Advancement activities. The role coordinates meetings, reporting, documentation, special projects, and events; supports communication and follow-up with internal and external stakeholders; and helps ensure campaign priorities and processes are advanced in a timely, accurate, and professional manner. Working across multiple teams and stakeholder groups, the position requires strong organizational skills, discretion, judgment, and the ability to manage competing priorities in a complex environment.

Responsibilities:

  • Campaign Operations and Documentation
  • Coordinates the development, maintenance, and distribution of key campaign reports, including financial, donor, and progress reports, to support tracking, planning, and decision-making.
  • Works collaboratively with Advancement and other School teams to gather, verify, and update campaign data and narrative content, ensuring information is accurate, current, and delivered according to established timelines.
  • Coordinates workflow processes and tracks timelines for campaign priorities, deliverables, and related operational activities, ensuring follow-up items are monitored and advanced.
  • Prepares, formats, and quality-checks campaign-related materials, including presentations, briefing notes, agendas, reports, and correspondence, to ensure consistency, accuracy, and professionalism.
  • Coordinates the review, approval, and distribution of campaign communications and materials developed by the Director, Campaign Management and Advancement colleagues.
  • Maintains campaign files, records, and documentation systems to ensure information is organized, accessible, up to date, and aligned with Advancement and Western University standards
  • Internal & External Relations
  • Coordinates Campaign Cabinet, volunteer committees, and other campaign-related meetings, managing logistics such as scheduling, room bookings, virtual meeting setup, materials preparation and distribution, minute-taking, and follow-up tracking.
  • Coordinates complex meetings involving Cabinet members, senior volunteers, academic leaders, and other key internal and external stakeholders, managing multiple schedules and competing priorities to ensure seamless execution.
  • Supports the Director, Campaign Management in coordinating recurring and ad hoc meetings with campaign leaders and partners, ensuring participants are prepared and action items are documented and advanced.
  • Acts as a key contact for internal and external stakeholders in relation to meeting coordination, logistics, and follow-up communications on behalf of the Director, Campaign Management.
  • Prepares, analyzes, and distributes campaign-related reports, briefing materials, and meeting documentation to support fundraising activity, planning, and decision-making.
  • Coordinates operational aspects of campaign initiatives, including internal readiness and training activities, by managing schedules, booking logistics, and preparing standardized materials.
  • Works collaboratively with Advancement colleagues and School and Western partners to coordinate calendars, support senior leadership engagement, and facilitate alignment on campaign-related priorities.
  • Ensures agendas, briefing notes, background materials, speaking notes, and other required documents are accurate, timely, and aligned with meeting objectives.
  • Maintains awareness of School and campaign priorities, leadership activities, and organizational developments in order to support effective coordination and stakeholder engagement.
  • Develops strong working knowledge of the School’s structure, key contacts, and partner relationships to facilitate communication, collaboration, and efficient campaign operations.
  • Special Projects & Event Management
  • Coordinates special projects in support of campaign planning, volunteer engagement, and campaign governance, including onboarding and providing ongoing support for Campaign Cabinet members and other volunteers.
  • Develops and maintains the materials, documentation, and resources required to support volunteer engagement and campaign governance processes, ensuring consistency, continuity, and effective participation.
  • Plans, coordinates, and executes logistical arrangements for select campaign and Advancement events, ensuring activities are delivered professionally, efficiently, and in alignment with campaign objectives.
  • Coordinates event logistics, including venues, catering, invitation lists and distribution, travel, parking, accommodations, audio-visual requirements, presentation materials, gifts, vendor management, and expense tracking, as required.
  • Supports the planning and delivery of internal training sessions, workshops, and stakeholder engagement activities by coordinating schedules, logistics, communications, and materials.
  • Works collaboratively with Advancement colleagues, Ivey departments, and external stakeholders to implement campaign-related events and special projects that support campaign priorities and stakeholder engagement.
  • Supports the development and implementation of new processes, resources, and internal training initiatives that enhance campaign operations and team effectiveness.
  • Administrative Support to the Director, Campaign Management
  • Manages the Director’s calendar, schedules meetings, and coordinates related logistics, prioritizing requests to support the effective use of time and advancement of campaign priorities.
  • Coordinates travel, expense processing, and other administrative requirements accurately and in a timely manner.
  • Provides direct administrative and coordination support to the Director, Campaign Management, including preparation of materials, tracking follow-up items, and supporting day-to-day operational needs.
  • Maintains discretion and confidentiality in handling sensitive campaign, donor, volunteer, and internal information.

Qualifications:

Education & Experience

  • Undergraduate Degree or a two-year college diploma from a recognized community college.
  • Minimum of 3 years progressive administrative experience, successfully supporting senior to executive level management.
  • Experience with campaign administration in a fundraising environment is desirable.

Skills & Abilities

  • Strong planning, organizational, and time management skills with the proven ability to effectively manage competing priorities and the complexities involved in coordinating activities of senior level management.
  • Demonstrated ability to manage schedules, coordinate meeting logistics, travel arrangements, and process expenses with superior attention to detail
  • Knowledge of document preparation, formatting, quality control and correspondence support.
  • Familiarity with reporting processes used to track progress, monitor activity and support decision-making.
  • Ability to work under tight deadlines and adjust to a changing priorities frequently.
  • Superior oral and written communications skills, demonstrating professionalism in both presentation and demeanor.
  • Detail-oriented with an ability to function and process information with high level of accuracy.
  • Highly developed client service and interpersonal skills with a proven ability to interact professionally and tactfully with senior executives, key members of the corporate community, and all levels of staff and management within Western University.
  • Possess a reputation for resourcefulness with the ability to exercise independent judgement and flexibility.
  • Proven ability to diplomatically and tactfully persuade others to understand and assist in attaining goals.
  • Ability to maintain high standards of confidentiality and apply tact and discretion when dealing with sensitive issues.
  • Advanced technical and computer skills to support administrative functions including MS Office Suite, with an aptitude to quickly adapt to new technologies.
  • Possess a strong knowledge of social protocol.
  • Proven ability to work independently and as a part of a team, including successfully managing projects and events.
  • Knowledge of procedures and protocol of Western University and the Ivey Business School are considered an asset.
