The Penticton & Wine Country Chamber of Commerce is seeking an organized, personable, and detailoriented Office Administrator to help keep our organization running smoothly. If you enjoy working with

As the Chamber’s Office Administrator, you’ll be the welcoming face of our office while providing
administrative, financial, and operational support to our Executive Director and staff. This is an excellent

Position Details
Job Title: Office Administrator
Start Date: August 2026
Compensation: $21/hr, to be reviewed after 3 months
Hours: 30-35 hours per week
Position Overview
The Office Administrator is responsible for the day-to-day administrative, financial, and operational
functions of the Chamber. This position ensures the Chamber office operates efficiently while providing
exceptional service to members, visitors, volunteers, and community partners.
Organizational Structure
The Office Administrator reports directly to the Executive Director while working collaboratively with the
Events & Marketing and Member Relations & Engagement Coordinators.
The Chamber’s Board of Directors operates under a policy governance model, meaning that all staff are
accountable solely to the Executive Director. Staff do not report to or receive direction from individual
board members.
Key Responsibilities
1. Office Administration
• Serve as the first point of contact for visitors, members, and the public.
• Answer and direct incoming telephone calls, emails, and general inquiries.
• Maintain organized electronic and physical filing systems.
• Maintain a clean, organized, and professional office environment.
• Maintain organizational calendars and recurring administrative schedules.
2. Financial Administration
• Prepare and issue invoices for memberships, sponsorships, advertising, event
registrations, and other Chamber services.
• Process accounts receivable, including cheque, electronic, online, and credit card
payments.
• Monitor recurring payment systems and follow up on declined or failed transactions.
• Prepare monthly bank deposits.
• Reconcile member benefit provider lists (such as insurance partners) with active
membership records and report discrepancies.
3. Executive and Board Administration
• Preparing meeting packages and supporting documents.
• Formatting reports, presentations, and correspondence.
• Assisting with Board and committee administration.
• Recording Board meeting minutes.
• Assisting with Annual General Meeting administration
Minimum Qualifications
• Minimum of two years’ experience in office administration, bookkeeping, or administrative
support.
• Experience in a non-profit organization, Chamber of Commerce, association, or professional
office is considered an asset.
• Experience with accounting software, accounts payable, and accounts receivable.
• Experience working with CRM or membership database software is considered an asset.
• Excellent communication skills (written, oral, and telephone).
• Strong teamwork, leadership, and administrative abilities.
• Ability to work independently and meet goals with minimal supervision.
• Highly organized and detail oriented.
• Computer literacy, including Microsoft Office Suite, online registration systems, and Canva.
Conditions of Employment
• Full-time position: Minimum of 30 hours per week.
• Primarily office-based, but also includes occasionally working off-site at Chamber events.
• Occasional early morning, evening, or weekend work to support Chamber events.
• All employment terms, including overtime, vacation, and statutory holidays, are in accordance
with the BC Employment Standards Act.
• Individual health and dental benefits as well as RRSP contributions provided after 3-month
probationary period.
