Onboarding Coordinator

Job Description

Overview

The Onboarding Coordinator will report to the Manager Onboarding and will be responsible for coordinating the onboarding and orientation of new Candu employees. This includes liaising with multiple departments to ensure that all new employees have the tools and training they need to succeed in their careers with Candu Energy.

Your role

• Maintain the New Hire Listing using data provided by the HR team.
• Report successes or challenges regarding the onboarding process to various levels of management as required.
• Update the Employee Orientation presentation by collaborating with other support departments (HR HSE Security Communications IT).
• Annually update the Onboarding Procedure.
• Maintain stock of branded merchandise and information booklets for new employees.
• Track and analyze onboarding metrics to identify trends and areas for improvement and prepare reports for management.
• Weekly tasks:
  • Submit IT tickets for outstanding equipment and account access including follow-up and issues resolution.
  • Update and distribute a list of upcoming new employees to the Onboarding Team and Hiring Managers.
  • Create and provide new employees with a complete package of company-branded items login credentials and the presentation.
  • Work with various departments to resolve issues that arise during the onboarding process.
  • Set up the onboarding room before the start of the Orientation including ordering of refreshments and coordination of presenters.
  • Schedule training sessions and maintain a weekly roster ensuring coordination with various instructors.
  • Maintain employee records in the Learning Management System (LMS).
  • Working with the Role-Based Training team assisting with LMS duties such as creating assignment profiles uploading training records and certifications scheduling and reporting.
  • Present and deliver common information at the Employee Orientation session.
  • Crosstrain with other Training and Onboarding roles within the same skill category to aid in team capability.

Required Interfaces:

• Hiring Managers other support departments (e.g. IT HR) Senior Leadership Team New Employees.
• Ability to work in office 5 days per week.

About you

• 1 - 2 years of relevant experience in a similar coordination role.
• Experience with SAP SuccessFactors Learning Management System (LMS)
• Experience in an office environment.
• Knowledge of office processes procedures equipment and filing systems.
• Ability to adapt to last-minute changes and handle unexpected situations effectively.
• High proficiency in Microsoft Office programs (Word Excel PowerPoint and Outlook).
• Strong analytical and problem-solving skills with the ability to work collaboratively.
• Strong presentation skills with the ability to remain positive and calm in a hectic environment.
• Excellent internal customer relationship skills.
• Self-starter who can identify what needs to be done and take initiative.
• Strong planning and organizational skills with the ability to prioritize tasks and meet deadlines.
• Strong sense of urgency and accountability.
• Extremely detail-oriented.
• Exceptional communication skills both verbal and written.

Work Locations:

• Primary work location will be in the Mississauga ON office.
• Occasional travel to other project sites may be required.
