Who we need Reporting to the Director of Finance, we are hiring a Finance & Operations Specialist.

You will support the Finance, Operations, and IT team by owning the administrative functions that keep the team running and by taking end-to-end responsibility for the key administrative tools and systems the team relies on.

This role combines day-to-day financial support—transaction review, reconciliations, and reporting—with office administration, operational and IT coordination, and ownership of intake, workflow, and expense-management platforms. This is a hybrid role that is primarily remote, with a few days each month spent working from Parkinson Canada's office (4211 Yonge Street, Suite 316, Toronto, M2P 2A9).

Key Responsibilities: Financial Operations & Systems Support Serve as the primary owner and administrator of the team’s core administrative tools, including Monday.com (Admin/Operations workspace), Float, and TravelPerk, ensuring they are configured, maintained, and used consistently. Oversee day-to-day operation of the Monday.com Admin/Operations workspace—managing intake requests, maintaining request queues, and ensuring timely, accurate routing, tracking, and follow-up across teams. Develop, configure, and maintain request forms and workflows, standardizing intake processes and supporting new or evolving request types. Identify opportunities to automate, streamline, and improve administrative processes across the tools the team relies on. Monitor daily transactions within Float, TravelPerk, Monday.com, and related systems, and escalate discrepancies or exceptions in a timely manner Prepare monthly reconciliations and coordinate with internal stakeholders to obtain supporting documentation and resolve outstanding items Complete balance sheet reconciliations and investigate variances related to employee expenses, travel, and other operational transactions Reconcile tenant billings, including rent, room rentals, photocopies, postage, and other recoverable costs, and follow up on outstanding items as required Maintain accurate supporting records and ensure finance documentation is complete, organized, and shared with the appropriate team members Support month-end close activities by preparing journal entry support, reconciliations, and related schedules as assigned Administrative Support Coordinate incoming and outgoing mail, including opening, scanning, routing, and preparing mail for pickup on designated office days Serve as a point of contact for tenants, maintain booking and office calendars, and support office space coordination requirements Liaise with consultants, building contacts, and tradespeople requiring access to the office and coordinate logistics as needed Assist with general office administration, document filing, and maintenance of shared records and administrative supplies Operational Support Coordinate the shipment and tracking of laptops, IT equipment, and peripherals for new hires and existing staff requiring replacements or upgrades Support onboarding and offboarding logistics by coordinating equipment setup, returns, and related documentation Assist with operational coordination tasks, vendor follow-up, and internal service requests to support efficient day-to-day office and remote operations Financial Reporting support Prepare financial analyses, schedules, and presentation materials to support management reporting and decision-making Support cash flow reporting, forecasting support, and the preparation of financial models and summaries as assigned Prepare the quarterly reporting packages, including assisting with variance analysis, charts, and other finance committee materials Team Collaboration and Communication Participate in Parkinson Canada's EOS operating framework, including regular meeting rhythms, quarterly priorities (Rocks), and defined role accountabilities. Participate in team and staff meetings and contribute ideas that support continuous improvement in finance and operations processes Collaborate effectively with colleagues across departments to support shared objectives, resolve issues, and deliver timely service Contribute to departmental and cross-functional projects and provide support during peak workload periods as needed Maintain organized departmental records, including archiving, file transfers, and document retention in accordance with internal practices Perform other related duties as assigned to support the effective operation of the Finance and Operations function What you bring Finance, accounting or administrative diploma 3-5 years’ experience in accounting, finance operations, or administration Not-for-profit experience preferred Proficiency in Microsoft Office, particularly Excel, Outlook, and Word Experience with accounting, expense management, or workflow systems such as ERP platforms, Float, or Monday.com Strong attention to detail, accuracy, and ability to manage multiple priorities and deadlines Ability to handle sensitive and confidential information with discretion and professionalism Strong written and verbal communication skills and ability to collaborate across departments Demonstrated problem-solving skills and ability to identify, investigate, and resolve discrepancies Ability to work independently in a hybrid environment while contributing effectively as part of a team Compensation: At Parkinson Canada, we believe that compensation should be fair and supportive of your experience and growth.

For this role, the salary is between $60,000–$70,000 per annum.

Our salary ranges reflect progression from learning in the role to excelling, with each offer based on skills, experience, and role complexity.
