We are currently looking for an Assistant Executive to join our team in Mississauga Ontario.

A Day in the Life:

POSITION SUMMARY
Responsible for providing administrative support to the Director of Marketing Managing Director of INFINITI and Director of DND Electrification & Corporate Strategy. All matters are dealt with in a confidential and professional manner. Responsible for the proper handling of administrative issues of the executive offices.

POSITION FUNCTIONS
1. Provide and communicate sensitive and non-sensitive issues to the Directors in a timely manner. Screen telephone calls mail and e-mail in a professional and diplomatic manner and assist/designate where possible. Compile bi-weekly itineraries for Executive team prepare and maintain Corporate Calendar. 15%

2. Co-ordinates and maintains the Directors schedule with respect to booking/ organizing meetings appointments and travel plans with a fair amount of flexibility. Communicating to executives any changes/deletions/additions to the calendar and ensuring there are no conflicts to the schedule. Reserve flight and hotel accommodations ensuring the best possible airfare/hotel rates are attained. Prepare expense reports reconcile monthly MasterCard statements and prepare corporate and legal invoices for processing. Update and maintain filing system and maintain Executive Cost Centre reporting in SAP. 40%

3. Perform administrative duties within the Marketing & INFINIT departments related to setting up Purchase Orders (POs) completing Media Purchase Authorization administration and other budget tracking and execution tasks in coordination with the marketing agency and finance teams. Assist in coordinating Shopping Basket management maintaining a contract repository and assist with OPEX management as directed. 20%

4. Perform other administrative duties such as required including but not limited to filing ordering lunches ordering office supplies faxing photocopying sending courier packages coordinating departmental events booking boardrooms ensuring proper room set up and supporting other administrative assistants. Records retention co-ordinator. 15%

5. Assists Directors in composing correspondence producing charts spreadsheets and presentations in PowerPoint. 5%

6. Ensure professional and pertinent exchange of sensitive information when liaising with Executive team internal Nissan and INFINITI contacts outside of Canada dealers suppliers and associations. 5%

MINIMUM QUALIFICATIONS
The following qualification factors reflect the minimum skills and abilities required of the qualified applicant.

Knowledge:

  • A minimum of post-secondary education in administration
  • 1 to 3 years experience working with Senior Executives.
  • Must be able to deal with confidential and sensitive matters in a professional manner work with minimum supervision and be self-motivated.
  • Advanced knowledge of MS Word PowerPoint Excel and Outlook.
  • Excellent organizational and time management skills with the ability to multi-task are essential.
  • An understanding of Corporate Culture and Corporate Visual Identity standards is necessary.

Interpersonal Skills: As a representative of the company when dealing with contacts of the Executive Team President or General Counsel this position requires professional and diplomatic interpersonal skills including the ability to listen effectively and communicate both straightforward and complex information to all levels within the company and with customers. Good conflict resolution presentation skills and the ability to present confidential information with diplomacy is required.

Complexity and Problem Solving: The incumbent in this position deals with day-to-day office issues such as the computer/printer not working. A high degree of creativity flexibility and the ability to prioritize is required.

Physical and Sensory Demands: The sensory demands of this position are moderate and include auditory effort required when handling customer calls (do they) and liasing messages to/from the Executive Team President and General Counsel. Visual demand is moderate to high when checking e-mails schedules proofreading. Concentration is required when classifying mail e-mail and telephone calls. Physical demands are limited and include frequent use of computer.

Decision-Making/Impact of the Position: Must be comfortable and confident in making decisions regarding the activities of the position such as booking/rearranging appointments and meetings. Deciding how to best handle situations that arise in the Executive Team President or General Counsel absence. Typically errors in judgement or procedure can impact the company image to guests of/callers to the President or General Counsel and take time and effort to correct.

Although this position has some exposure to adverse working conditions (multiple and/or conflicting deadlines) the work environment is safe and no precautions are necessary to avoid a work injury.

Salary Range:

$59550.00 - $73162.00

This compensation range represents the minimum to midpoint base salary rates at Nissan for jobs assigned to this particular grade level. Please note that an employees base salary may occasionally be set above the midpoint of the salary band for this grade level in recognition of the employees unique skills work experience education work location or market conditions. Compensation decisions also consider internal equity and comparisons with the base salary rates of other employees with similar backgrounds working in comparable roles. Note: Bonus benefits and other forms of variable compensation are not included in the base-salary range shown above.
