Employment Type: 12 months Full-Time Temporary

Number of in-office/on-site days: 1 day per week

Union: MoveUP

Monthly Salary Range: MOVEUP_08, MIN $5,419.00 - MAX $6,497.00 is available through annual general wage/step increases.

Recruitment Range: MIN $5,419.00 – STEP 3 $6,008.

Placement in the salary range is determined by an assessment of knowledge, skills, experience and ability of the candidate to meet the key requirements of the job. In exceptional cases, candidates may be hired above the recruitment range, provided agreement is reached with the Union.

In this role you will be asked to...

Be the central point of coordination between BC Transit's Strategic Procurement department and business areas across the organization. Reporting to the Manager, Contracts, you will manage the flow of procurement and contract-related information, helping to ensure purchase order requests, contracts, amendments, and change orders are processed accurately and efficiently.

A major focus of this role is the raising, review, management, and administration of purchase orders. You'll assess requisitions for completeness, accuracy, and appropriate approvals, confirm supporting contracts and documentation exist, and ensure requests comply with procurement policies and requirements.

You'll become a key resource for internal customers, providing guidance and training on purchase order creation, approvals, procurement procedures, and issue resolution. You'll work closely with Accounts Payable, Capital Planning, vendors, business owners, and other stakeholders to resolve inquiries and ensure timely processing of procurement activities.

You will also support procurement and contracts administration activities, including managing contract records, , supporting audits, and ensuring records are retained according to provincial requirements.

Success in this role requires someone who can manage a high volume of requests, prioritize effectively, communicate confidently, and maintain a strong focus on customer service and accuracy.

In this role you will not be asked to...

Work in isolation with little interaction.

This is a highly collaborative role that requires daily communication with internal stakeholders, vendors, procurement professionals, accounts payable staff, and contract managers. Success comes from building relationships, providing guidance, and helping others navigate procurement processes effectively.

You won't simply process transactions. You'll be expected to review information critically, identify issues, provide recommendations, and ensure procurement activities align with policies and procedures.

  • High volumes and competing priorities. This role manages a continuous flow of purchase order requests, procurement inquiries, contract administration activities, and stakeholder support requirements.
  • Attention to detail is critical. Accuracy matters when reviewing approvals, contracts, purchase orders, records, and procurement documentation.
  • Frequent stakeholder interaction. Success requires comfort communicating with a wide range of internal and external customers and providing guidance on procurement procedures.

Some qualities you possess to be successful in this role:

  • Purchase Order Expertise – experience creating, reviewing, managing, and troubleshooting purchase orders in a complex organizational environment.
  • Procurement Knowledge – understanding of procurement practices, contract administration, competitive bid processes, and procurement policies.
  • Administrative Excellence – strong organizational skills and the ability to manage multiple requests while maintaining accuracy and attention to detail.
  • Customer Service Orientation – ability to build positive relationships and provide guidance to internal and external stakeholders.
  • Problem-Solving Ability – demonstrated ability to analyze business, financial, technical, and procedural issues and develop practical solutions.
  • Communication Skills – strong written and verbal communication skills with the ability to explain procurement processes clearly and effectively.
  • Adaptability and Prioritization – ability to work effectively in a fast-paced environment with competing deadlines and changing priorities.

The successful candidate will typically bring a post-secondary diploma in a related field and three years of related experience with recent progressive purchasing and/or contract administration experience. Knowledge of procurement or contract law, competitive bid processes, and experience creating purchase orders are important assets. Public sector procurement experience is considered an asset.
