The Role
The Financial Accountant & Operations Coordinator is responsible for managing the company's day-to-day accounting functions while supporting financial reporting, compliance, cash flow management, and continuous process improvement. The role also provides operational support where it directly impacts financial accuracy, including customer billing, purchasing, inventory, shipping, and business systems.
Working closely with the General Manager, external advisors, and the sister company's Finance Manager, this position plays a key role in maintaining accurate financial information and improving business processes.
This is a hands-on role within a growing entrepreneurial business. While financial reporting is a core responsibility, the successful candidate will also provide operational and administrative support to help keep the business running efficiently.
Responsibilities
Financial Accounting
• Manage full-cycle accounting including accounts payable, accounts receivable, invoicing, bank and credit card reconciliations.
• Prepare journal entries, accruals, balance sheet reconciliations, and complete month-end closing.
• Prepare monthly financial statements, budget-to-actual variance analysis, and management reports.
• Assist with budgeting, forecasting, and cash flow management.
• Maintain accurate general ledger, customer, vendor, and product records.
• Support intercompany accounting and reconciliations.
Compliance & Reporting
• Prepare Canadian tax remittances and support U.S. sales tax compliance.
• Assist with year-end working papers, audits, and corporate tax requirements.
• Maintain organized financial records and ensure compliance with accounting policies and regulatory requirements.
Operations & Business Support
• Coordinate customer invoicing and support order-to-cash processes including direct contact with customers.
• Management and follow up of A/R and A/P
• Tasks for the setup of new customer accounts – credit checks and related communication with new customers
• Entry of customer orders in the system
• Review purchasing, inventory, freight, customs, tariff, and brokerage transactions for financial accuracy.
• Maintain pricing, product, customer, and vendor information within business systems.
• Prepare reports and analysis to support operational and financial decision-making.
• Provide administrative support to the General Manager as required.
• Prepare freight bookings and outbound shipments.
• Prepare customs documentation on U.S. shipments.
Process Improvement
• Identify opportunities to improve accounting processes, reporting, internal controls, and automation.
• Develop and maintain standard operating procedures and documentation.
• Support implementation and optimization of accounting, ERP, CRM, and business management systems.
• Qualifications & Skills Accounting diploma or degree, or equivalent experience.
• 3+ years of full-cycle accounting experience.
• Strong knowledge of accounting principles, reconciliations, and financial reporting.
• Experience with QuickBooks Enterprise or similar accounting software.
• Advanced Microsoft Excel and Microsoft 365 skills.
• Experience with budgeting, cash flow forecasting, and financial analysis.
• Familiarity with Canadian tax requirements and U.S. sales tax is an asset.
• Experience in manufacturing, distribution, or automotive industries is an asset.
