Job Description Summary

Are you a highly organized, customer focused individual with coordinator experience looking to join a growing team? STEMCELL Technologies is looking for a new Senior Facilities Services Coordinator to help us manage a rapidly expanding number of internal requests to support day to day operations.

As part of the Facilities Operations team, you will act as the first point of contact for employees, be responsible for the coordination of services by resolving and triaging ticketing requests, and onsite vendor management. You’ll work collaboratively with our larger Facilities Operations team to keep multiple sites including offices, laboratories and distribution centres, running smoothly and safely while providing excellent customer service.

Job Description

Duties and Responsibilities

  • Act as the primary point of contact for facility related requests, ensuring issues are resolved efficiently and stakeholders are kept informed and administer and report on the access control process cross-departmentally and continuous onsite monitoring of service levels of internal and externally provided services (including daily rounds)

  • Track facility service requests using our internal ticketing system (JIRA), ensuring timely follow-up, and resolution

  • Coordinate vendor access and site visits, ensuring compliance with security protocols and workplace health and safety requirements

  • Provide administrative support to the team, including scheduling of meetings, minute taking, management of a shared inbox, and monitoring recurring Facility-related fees and permit/license contract expiry dates

  • Gather requirements for assessment and coordinate services between internal stakeholders and external contractors/service provides as needed

  • Collaborate with internal teams to draft communications to provide internal facing updates, including reports relating to quality audits to ensure ongoing safety and compliance


Knowledge and Qualifications

  • 3-5 years of previous experience with multi-site coordination and administration; Facilities experience preferred but not required

  • Experience with ticketing systems (eg JIRA) is an asset

  • Experience with Lenel or Keyscan access control systems is an asset

  • Proactive, customer-oriented mindset, with an ability to follow protocols, action solutions, and/or escalate issues as required

  • Able to lift up to 30lb

The annual salary for this job ranges from:

$71,200.00 - $96,400.00

STEMCELL determines an individual’s pay within the range based on multiple factors including experience, education, job-related skills, and equity within the team or organization. For jobs that are eligible for sales incentives, the range noted above is inclusive of target incentives; actual incentives are based on individual performance results in accordance with company policy. In addition to base salary, STEMCELL offers a comprehensive total rewards package including health benefits, retirement savings, and more.
