Presentation of the organization
The St. Mary’s Research Centre (SMRC) is part of the Santé Québec Ouest-de-l’Île-de-Montréal - Universiatire and affiliated with the McGill research network. It specializes in research focused on care organization, patient-centered interventions, and quality improvement. The PROVEM platform is a provincial initiative aimed at structuring, integrating, and leveraging real-world data in oncology to support research, decision-making, and healthcare evaluation.
The PROVEM-PRO data bank focuses on collecting and integrating patient-reported outcomes and experiences (PROMs/PREMs) linked with clinical and administrative data across multiple institutions in Quebec.
The patient experience survey (called PREMs) is a ministry mandated survey that was launched across the province of Quebec. We have been studying the implementation of this survey in different sectors across the organisation. The goal of the project is to understand how we can use data from the survey to improve quality of care.
Summary of role and responsibilities
The incumbent will report directly to Dr. Sylvie Lambert at the St. Mary’s Research Centre, where the core data infrastructure of the PROVEM-PRO data bank is hosted.
The role involves coordinating the implementation and operations of the PROVEM-PRO data bank across multiple sites, including data management, patient interaction, and communication activities. Additionally, the candidate will also coordinate implementation and evaluation of outcomes at different clinical sectors for the PREM project. The position requires the ability to work in a dynamic and evolving environment involving multiple stakeholders.
Key Responsibilities
- Project Coordination: Plan and coordinate the deployment of the PROVEM-PRO data bank and PREM survey, monitor timelines, deliverables, and milestones, coordinate activities, and identify and resolve operational challenges ;
- Data Management (PROVEM-PRO): Support the use and monitoring of data collection tools (REDCap), ensure data quality, consistency, and integrity, develop and maintain data management procedures, and collaborate with IT teams on technical aspects ;
- Data Management (PREMs): Update the survey, hosted on a platform called Voxco, with new sectors and questions; regularly share recruitment numbers with each sectror; coordinate maitenance and updates for a PowerBI dashboard in colloboration with perfo-centre; and coordinate analysis of open-ended comments with an external partner ;
- Patient Interaction: Respond to patient inquiries regarding the project, support the informed consent process, conduct patient interviews, ensure clear and appropriate communication with patients, and contribute to improving patient-facing materials;
- Ethics and Regulatory: Coordinate ethics submissions and approvals, manage amendments and renewals, and ensure compliance with institutional and regulatory requirements ;
- Documentation and Standardization: Develop and maintain project documentation (protocols, SOPs, guides) and document data flows and procedures ;
- Coordination and Communication: Organize meetings with stakeholders and ensure effective communication across teams ;
- Communication and Visibility: Contribute to the project’s communication strategy, develop materials (newsletter, web content, presentations), and Support project visibility among stakeholders and patients ;
- Monitoring and Dissemination: Prepare progress reports, contribute to scientific and operational deliverables, and support knowledge translation activities.
Requirements
- Master’s in a relevant field
- Bilingual (French and English)
- Minimum 3–5 years of relevant experience:
- Experience in research coordination or health data management
- Multi-site project experience (asset)
- Experience with ethics processes
- Prior experience with REDCap (required)
- Experience submitting projects to research ethics boards
- Understanding of clinical data and/or PROMs/PREMs
- Knowledge of data governance principles
- Organization and prioritization
- Strong communication skills
- Ability to interact with patients
- Autonomy and accountability
