Work Setting: In-office

Trans Mountain is seeking a collaborative, motivated, and values-driven individual to join our dynamic team as a Contracts Administrator (Contract). This position will provide contract administration and coordination support for Supply Chain Management major contract deliverables across Trans Mountain’s Major Projects portfolio. The successful candidate will support up to two Senior Contract Specialists by helping manage contract documentation, procurement records, schedules, communications, approvals, and post-award administration activities.

Key Responsibilities

  • Provide contract administration and coordination support for major contract deliverables across Trans Mountain’s Major Projects portfolio.
  • Support up to two Senior Contract Specialists by managing contract documentation, procurement records, schedules, communications, approvals, and post-award administration activities.
  • Maintain procurement and contract files, track deliverables and action items, and ensure records are complete, organized, auditable, and defensible.
  • Support RFP and contract document control, coordinate bidder clarifications, and compile evaluation, negotiation, and award recommendation records.
  • Assist with contract implementation and administration activities, including contract set-up, correspondence tracking, invoice and payment support, change management documentation, reporting requirements, and meeting records.
  • Track compliance requirements, handover materials, and commercial issues to support schedule discipline, documentation quality, and governance compliance across multiple major contract packages.
  • Work collaboratively with Supply Chain, Project Management, Engineering, Legal, Finance, Indigenous Relations, and other stakeholders to support efficient and consistent contract execution in accordance with Trans Mountain’s standards, policies, and governance requirements.

Qualifications and Professional Experience

  • Post-secondary education in Supply Chain Management or related discipline.
  • Minimum of 3 years of related experience.
  • Experience in working with external stakeholders and conflict resolution.
  • General Oil and Gas product knowledge with Pipelines and Terminals.
  • Familiar with industry standards.
  • A track record of delivering high‑quality work, managing competing priorities, and supporting key business processes or operational functions.
  • Demonstrated ability to work effectively with colleagues and stakeholders from a variety of backgrounds and levels across the organization.
  • Effective communication skills, including the ability to convey information clearly, respectfully, and professionally.
  • Proven organizational skills with the ability to manage priorities, meet deadlines, and maintain attention to detail in a fast‑paced environment.
  • Commitment to inclusive practices and a willingness to contribute positively to a collaborative and supportive workplace culture.

Working Conditions

  • Willingness and ability to travel as required.
  • May need to provide support outside of regular business hours and/or on the weekend.
