Position Summary

Are you a highly organized professional who enjoys coordinating projects, supporting research initiatives, and working with diverse stakeholders to achieve successful outcomes? Join us as our new Research Facilitator!

Reporting to the Director, Finance and Administration, JSGS, and working closely with faculty, project leads, and external partners, the Research Facilitator supports the administration of research projects and related activities across the School. The position provides project, administrative, and stakeholder support to facilitate the successful implementation of funded research and other assigned initiatives. Responsibilities include supporting funding applications, coordinating project activities, monitoring progress, maintaining documentation, assisting with reporting requirements, and supporting communication among researchers, partners, funding agencies, and other stakeholders.

The Research Facilitator assists with operational and administrative processes that support the delivery of research projects and related programs. The incumbent maintains records, coordinates meetings and project schedules, assists with financial and reporting activities, prepares project-related materials, and serves as a point of contact for project participants and partners. Through effective coordination and administration, the position contributes to the successful achievement of project objectives and deliverables while ensuring compliance with institutional and sponsor requirements.

What You’ll Do:
  • Builds and maintains effective working relationships with faculty, academic and administrative units, research partners, funding agencies, and external stakeholders to support research and project activities.
  • Serves as a liaison and point of contact for internal and external stakeholders, facilitating communication, coordination, and the exchange of information related to research projects and initiatives.
  • Supports relationships with funding agencies and collaborates with the Offices of Research Services at the University of Regina and the University of Saskatchewan to ensure compliance with funding requirements and institutional processes.
  • Works closely with faculty, research teams, and collaborators to support research funding opportunities, partnership development, and cross-institutional initiatives.
  • Identifies and communicates relevant funding, collaboration, and partnership opportunities to faculty and research teams.
  • Assists with the preparation, review, and submission of grant applications, contracts, and other funding proposals.
  • Supports faculty and project teams in maintaining project documentation, reports, CV information, research dissemination activities, and award nominations.
  • Maintains project records, databases, and tracking systems to support research administration, reporting, and performance monitoring.
  • Assists in preparing reports, project summaries, progress updates, and other materials for faculty, funders, and stakeholders.
  • Supports the administration of multiple concurrent research grants and projects, including project initiation, implementation, monitoring, reporting, and closeout activities.
  • Tracks project milestones, deliverables, reporting requirements, budgets, and timelines to support compliance with sponsor and institutional requirements.
  • Assists with project financial administration, including budget tracking, financial reporting, reconciliation, and documentation in accordance with grant and institutional requirements.
  • Coordinates meetings, workshops, conferences, and stakeholder engagement activities, including participant communications, invitation management, travel arrangements, hospitality, logistics, and event budgets.
  • Supports domestic and international research initiatives involving multiple institutions and jurisdictions, including coordinating project activities, financial transactions, reporting requirements, and stakeholder communications with partners in countries such as Argentina, Chile, and Uruguay.
  • Provides information and guidance to faculty and project teams regarding available resources, administrative processes, and collaboration opportunities that support successful project delivery.

Position Requirements What You’ll Bring to this Position:
  • Completion of a graduate degree, preferably in public policy, project management, business administration, or a related field.
  • Three to five years of experience in research administration, project coordination, grant administration, or related project management roles.
  • Experience supporting externally funded projects involving multiple organizations, jurisdictions, or international partners is preferred
  • An equivalent combination of education and experience may be considered.

Skills That Will Ensure Your Success in the Role:
  • Knowledge of research administration, grant management, and project coordination principles and practices.
  • Knowledge of funding agency requirements, reporting processes, and compliance obligations associated with externally funded projects.
  • Demonstrated ability to coordinate multiple concurrent projects, priorities, and deadlines in a complex environment.
  • Strong organizational, analytical, and problem-solving skills with a high degree of attention to detail.
  • Strong interpersonal and communication skills, with the ability to build and maintain effective working relationships with faculty, funding agencies, project partners, and other stakeholders.
  • Experience preparing and coordinating reports, budgets, project documentation, and financial information.
  • Knowledge of financial administration, budgeting, expenditure monitoring, and reporting processes.
  • Ability to coordinate activities involving multiple organizations, jurisdictions, and stakeholder groups.
  • Experience supporting projects involving international partners, including coordinating financial transactions, contracts, reporting requirements, and stakeholder communications across different countries and regulatory environments.
  • Demonstrated proficiency with Microsoft Office applications, databases, and project tracking systems.

Preferred experience in:
  • Coordinating complex projects involving multiple stakeholders and funding sources.
  • Supporting financial administration, reporting, and compliance requirements for externally funded projects.
  • Working with international partners, organizations, or funding institutions, including projects involving cross-border financial transactions and reporting requirements.
  • Coordinating projects involving partners in Latin America, including Argentina, Chile, and Uruguay.
  • Managing project documentation, deliverables, budgets, and reporting obligations in a post-secondary, government, research, or non-profit environment.
