French-Speaking Project Coordinator – Kroll Pharmacy System Rollout (Quebec)
Our client, Canada's largest retailer, is hiring a Bilingual (French / English) Project Coordinator to support a major pharmacy application implementation initiative.
Location: Montréal, Quebec
In-office cadence: Hybrid, 2-3 days in office, downtown Montréal; some travel to other parts of QC during deployments
Start Date: ASAP
End Date: December , with possibility of extension
Position Summary
The Project Coordinator will support the province-wide implementation of the Kroll Pharmacy Management System across pharmacy locations in Quebec. Working closely with the Project Management, Implementation, Change Management, and Vendor teams, this role is responsible for coordinating project activities, supporting store readiness, managing communications, maintaining project documentation, and ensuring pharmacies are prepared for successful system deployment.
This is a highly collaborative role that requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced project environment.
Key Responsibilities
Project Coordination & Store Readiness
- Act as the primary coordinator for project inquiries related to the Kroll implementation.
- Manage the project mailbox, responding to general inquiries and escalating issues to the appropriate project teams.
- Support pharmacy locations with pre-go-live readiness activities and post-go-live inquiries.
- Assist pharmacists, pharmacy managers, and store management with implementation-related questions throughout the rollout.
- Conduct readiness checks with pharmacy teams to ensure all required activities have been completed before go-live.
Communications & Stakeholder Engagement
- Execute communications supporting each phase of the Kroll rollout.
- Coordinate and distribute implementation communications, including readiness activities, milestone updates, schedule changes, and go-live information.
- Schedule and coordinate invitations for project meetings, training sessions, and implementation activities.
- Track communication distribution and stakeholder acknowledgements to ensure engagement and readiness.
Implementation & Vendor Coordination
- Coordinate implementation activities between pharmacy locations, internal project teams, and external vendors.
- Support scheduling and coordination of:
- Network and hardware installation
- Site preparation activities
- Millwork and cabinetry modifications
- Security requirements during implementation
- Operational or staffing adjustments required for deployment
- Ensure pharmacy teams are informed of upcoming activities and understand their responsibilities before implementation.
Project Administration
- Maintain rollout schedules, implementation trackers, and project documentation.
- Update and maintain project portals, job aids, reference guides, and communication materials.
- Manage document libraries and implementation checklists.
- Track project readiness, completion of implementation milestones, and outstanding action items.
- Coordinate updates to implementation documentation with project teams and vendors.
Go-Live Support
- Support pharmacy locations during go-live activities.
- Participate in implementation support calls and assist with issue tracking and escalation.
- Coordinate with technical, operational, and vendor teams to resolve implementation issues.
- Assist with troubleshooting during the stabilization period following implementation.
Operational & Project Support
- Support Project Managers and Implementation Leads with rollout coordination activities.
- Coordinate vendor documentation and invoice processing.
- Assist regional rollout teams by responding to operational inquiries and escalating risks or issues as required.
- Participate in regular project meetings, providing implementation updates and supporting issue resolution.
Qualifications
- 2–5 years of experience in project coordination, project administration, or implementation support.
- Experience supporting large-scale technology implementations or operational change initiatives.
- Excellent organizational skills with the ability to coordinate multiple activities simultaneously.
- Strong written and verbal communication skills.
- Experience working with cross-functional teams and external vendors.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and Microsoft Teams.
- Strong attention to detail and documentation skills.
- Ability to work independently while managing competing priorities in a dynamic environment.
Preferred Experience:
- Candidates with experience supporting ERP, pharmacy management systems, healthcare technology, retail technology deployments, or multi-site implementations will be highly regarded.
- Familiarity with change management, implementation planning, and coordinating cross-functional project teams is an asset.
Nice To Have:
- Bilingual (French and English) is considered a strong asset, given the Quebec-based rollout.
- Experience in pharmacy, healthcare, retail operations, or enterprise software implementations is an asset.
