Job Description SummaryThis position strategically and effectively develops implements and coordinates the expanded cross-campus Co-operative (Co-op) Education Program at UBC s Okanagan campus. This cross campus expansion saw its first student cohort enrolled in 2016 and requires the Co-op Coordinator to assess effectiveness of the current program and recommend improvements as the program is integrated across -op Education is an experiential learning program within the UBC system designed to provide students practical experience in the work place while building collaborative engagements for the University with local national and international community partners. The Coordinator is responsible for the development implementation and coordination of the cross campus co-op education program coaching and mentoring students and for the facilitation of career relevant co-op job opportunities resulting in engaged student experiential learning.
Organizational StatusThis position reports to the Associate Director Community Relations Faculty of Management. The position coordinates the overall execution of the recently expanded Co-op Education Program for; The Irving K Barber School of Arts and Sciences Faculty of Creative and Critical Studies Faculty of Management and Faculty of Health and Social Development.
The Co-op Coordinator is responsible for maintaining strong working relationships with faculty and staff within the four different Faculties involved along with various programs across UBC including: The Student Experience Office The Advising and Involvement Centre International Programs office UBC Co-op offices professional associations such as ACE and CEWIL Canada and other career consultants.
Work Performed implements and coordinates the UBC Okanagan Co-op Program by:
- Developing and delivering a community engagement strategy that effectively communicates with local national and international organizations on how to engage with UBC through the expanded Co-op Education Program
- Designing the Cross-Campus Co-op Education Program to effectively respond to all specialized areas
- Strategically focused on establishing key messages of the Co-op experience to be part of new student recruitment for relevant programs across campus
- Setting student targets for incoming co-op students annually while also setting targets for work terms completed over each academic year (Summer as well as Winter Term 1 & 2)
- Responsible for ensuring the UBC Okanagan Co-op Program adheres to the Co-operative Education and Work-Integrated Learning Program (SEWIL) accreditation requirements and will actively contribute to mandatory accreditation renewal processes as required
- Executing annual communication and promotion strategies to attract and retain new community partners to participate in the Co-op Program
2. Builds community relations through:
- Creating strategic networks within the community and building relationships with potential partners for the UBC Okanagan Co-op Program
- Managing community development efforts by maintaining existing relationships with organizations to help foster ongoing recruitment of Co-op students and identify possibilities for new/additional engagements across campus
- Determining and administering employers wage subsidies such as the recently developed Southern Interior Development Initiative Trust (SIDIT) Co-op Work Term Grants an internal to UBC Okanagan Co-op Grant Program
- Advising employers on requirements for governmental and agency funding
- Researching and strategically reaching out to potential new community partners in industry non-profit government agencies (municipal provincial and federal) and institutions
- Actively participating and contributing to the community of Co-op Practitioners through professional associations including the Association for Co-operative Education BC and Co-operative Education and Work-Integrated Learning Canada
- Identifying opportunity and attending appropriate networking and tradeshow events to build relationships and promote the UBC Okanagan Co-op Program in the community
3. Promote facilitate and run the UBC Okanagan Co-op Program and additional career activities by:
- Facilitating comprehensive Co-op pre-employment and senior student training sessions for students on a variety of topics such as: effective resume & cover letter writing; interviewing skills; job search strategies; networking and building relations; workplace legislation; ethics and confidentiality; cultural diversity; and how to conduct company research
- Designing and developing innovative delivery of the mandatory training including leading the transition to digital platform delivery with face-to-face workshops designed for applied practice
- Staying current on the latest trends impacting job seekers and the job competition process and ensuring all pre-employment and post-employment workshops are relevant
- Developing and executing campus-wide career activities that incorporate opportunities for students to network with community members and fellow UBC students; learn about career options and build their networks; these events include: Career Days Speed Networking & Social Discovery Career Conference and CPA Fall Recruitment
4. Provides coaching and mentorship support and assistance to students within the Co-op program by:
- Evaluating student performance in the work place and resolving performance issues that may arise
--Evaluating Co-op Work Term Reports and officially assigning either a pass or fail grade to student s official academic record
- Responsible for ensuring all requirements of the student learning experience with respects to the work environment such as appropriate working conditions safety standards and academic requirements of the position. And that UBC requirements are effectively communicated in advance and supported throughout the work term
- Determining co-op student ongoing eligibility and active co-op status and determining when students must be removed from the program due to inactivity or breach of agreement
- Facilitating international student job opportunities
- Designing and coordinating orientation and information sessions for students as well as staff and faculty
- Coordinating the student Co-op application process each September/October
- Responsible for final selection of eligible students into the program with critical assessment of necessary qualifications
- Planning and facilitating pre-employment and senior student training
- Coaching students throughout the active job search providing: guidance around individual job search strategy encouragement of diverse work experiences as relevant to their academic program and ensuring quality of applications being submitted to community partners
5. Provides analytical data and program progress information by:
- Reporting quarterly on student work term statistics community partner profiles local national and international work experience and stats regarding key program information such as posted positions application rates etc.
- Capturing the learning experience of students engaging in this experiential learning activity and ensuing these stories are then shared with the campus and broader community
- Analyzing labour market trends through attending industry events newspaper research etc
- Relay information to students as well as the Dean and campus leadership offices as appropriate for long term strategic planning
6. Performs other duties as required.
Consequence of Error/JudgementIncorrect decisions can affect quality of student applicants to the UBC Okanagan Co-op Program. Failure to adequately assess community partners could result in students being exposed to inappropriate work environments. Failure to assess and prepare students for appropriate work experience could result in loss of credibility of the co-op program with industry. Failure to intervene and resolve student work experience performance problems could result in loss of working relationships between industry and the University. Failure to apply policies and procedures established by the Ministry of Skills Training and Labour could result in loss of accreditation and/or financial support.
Supervision ReceivedThe work will be supervised by the Associate Director Community Relations through the Faculty of Management Dean s office. Works independently on major programs with performance evaluated against set objectives and targets.
Supervision GivenMay supervise administration staff and student workers and works collaboratively with the general administrative staff within the Faculty of Management. Coordinators are authorized to remove students from the Co-op program for poor performance both on and off the work place.

Preferred QualificationsUndergraduate degree in a relevant discipline.(Business or Social Sciences preferred).Minimum of four years experience or the equivalent combination of education and Development Practitioner Certification an asset. Industry related experience either locally nationally or internationally is preferred. Performance competencies and criteria include:
- Proficient in computer applications including MS Office email internet research and database management
- Excellent interpersonal skills including building community relations and working with students
- Strong presentation skills for presenting key strengths of the Co-op Program to community partners and students
- Proven communication skills both oral and written
- Ability to coordinate and plan events and activities some of which are large campus-wide activities
- Facilitation experience in developing and delivering pre-employment training programs (career development) is desired
- Some local and national travel is required
