Job description

Employment Type: 10-month projectterm

PURPOSE

The Administrative Assistantprovides comprehensive administrative and operational support to the Housing& Infrastructure department. This role supports planning coordinationcommunications records management project administration and stakeholderengagement activities related to housing infrastructure land and communitydevelopment initiatives.The position requires strongorganizational skills cultural awareness discretion and the ability to workeffectively in a northern and Indigenous governance environment.


RESPONSIBILITIES

  • Provide day-to-dayadministrative support to the Director and Housing & Infrastructure team.
  • Manage calendars meetingschedules and travel arrangements.
  • Prepare correspondencereports briefing notes agendas and presentations.
  • Coordinate internal andexternal meetings including logistics and materials.
  • Record and distributemeeting minutes and action items.
  • Maintain organizedelectronic and paper filing systems.
  • Assist with administrativetracking of housing and infrastructure projects.
  • Support documentation forcapital plans maintenance programs and community development plans.
  • Help monitor projecttimelines deliverables and reporting deadlines.
  • Compile background materialsand data for funding applications and reports.
  • Assist with contract andagreement documentation processing.
  • Serve as a first point ofcontact for departmental inquiries.
  • Support communications withcommunity representatives leadership funding partners and stakeholders.
  • Assist with preparation anddistribution of community notices and project updates.
  • Coordinate logistics forcommunity meetings and engagement sessions.
  • Process invoices purchaseorders and expense claims.
  • Assist with budget trackingspreadsheets and financial documentation.
  • Maintain funding reportingand compliance records.
  • Support audit and reportingpreparation as required.
  • Assist with formatting andtracking departmental policies and procedures.
  • Maintain policy reviewschedules and version control.
  • Support document control forplans agreements and regulatory materials.


QUALIFICATIONS

  • Diploma or certificate inOffice Administration Business Administration or related field OR equivalentexperience.
  • Three to five years of administrativeexperience preferably in government Indigenous organizations non-profithousing or infrastructure environments.
  • Experience supporting seniormanagement is an asset.
  • Experience working in anorthern context is an asset.
