Job description
Job Description

We are seeking a Program Delivery Coordinator to join our team. This position is hybrid based out of Mississauga. We seek a proactive professional to support senior leadership across multiple programs in Canada, ensuring timely, accurate reporting and effective stakeholder communication.

The successful candidate will report to the Program Delivery Director. The purpose of this role is to support AECOM Canada’s program management senior leadership by preparing executive-ready reports and presentations, tracking program performance metrics, and coordinating cross-functional program delivery activities. This includes partnering with Project Controls to integrate schedule and cost data, leveraging company financial systems and cornerstone tools, and communicating insights, risks, and recommendations clearly and confidently to senior stakeholders.

Responsibilities

• Prepare executive-ready reports and presentations for senior leadership across multiple programs, including staffing status, cashflow and cost performance, schedule status, KPIs, risks, and issues.
• Use Microsoft Excel, PowerPoint, and Word proficiently to produce high-quality deliverables that meet reporting standards and timelines; present updates and key findings to senior management as required.
• Collaborate with Project Controls for each program to analyze program-specific cost and schedule data, integrate earned value and performance metrics, and produce accurate, timely reporting outputs.
• Work within company financial systems; develop proficiency in cornerstone tools to structure and provide cost, schedule, and performance data in control-ready formats.
• Apply financial terminology and measures to interpret and articulate the impact of program actions; assist in analyzing financial and project data to identify key issues, trends, and variances.
• Support trending and forecasting activities; prepare progress and cost-impact analyses and participate in cost review meetings.
• Use drawings and specifications to help establish and maintain baseline data; assist with creation and maintenance of baseline budgets.
• Collect and analyze manpower, labor-hour, and labor-cost data versus budgets and funding limits; track purchase orders, subcontract commitments, and expenditures.
• Manage and organize contractual documents and correspondence in SharePoint to ensure accuracy, accessibility, and compliance; assist with reviewing contractor invoices as required.
• Review and interpret contract terms, client mandates, and scope requirements to align reporting, risk identification, and recommendations with contractual obligations.
• Apply scope control and change management practices; support baseline management and change control processes in coordination with Project Controls and delivery teams.
• Demonstrate exposure to scheduling concepts and cost/schedule integration; support performance management and the overall project reporting process.
• Provide on-demand support to multiple programs—assisting dedicated program teams with ad hoc tasks such as program initiation, mobilization, and staffing coordination—adapting to shifting priorities.
• Gather data to inform procedure development and continuous improvement across programs.
• Commit to ongoing capability-building in program management through AECOM University and on-the-job learning alongside senior colleagues.

Qualifications

Minimum Requirements

• Bachelor’s degree in Engineering, Business Administration, Project Management, Finance, or related field + 3 years of relevant experience, or demonstrated equivalency of education and/or experience
• Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) with demonstrated ability to produce professional executive-level deliverables
• Strong written and verbal communication skills, with the ability to present confidently to senior audiences

Preferred Requirements

• Typically, a minimum of 5 years of professional experience in program or project coordination, reporting, or Project Controls support within engineering, infrastructure, or construction environments
• Familiarity with Project Controls principles including scheduling (CPM), cost management, earned value analysis, trending and forecasting, baseline and change management
• Experience using SharePoint or similar document management platforms for contract administration and records management
• Understanding of contract structures, client mandates, and scope interpretation in professional services or major infrastructure delivery contexts
• Experience supporting multi-program environments and adapting quickly to competing priorities and deadlines
• Certification or coursework in Project Management (e.g., PMP, CAPM) or Project Controls (e.g., EVP, PSP) is considered an asset
• Experience with data visualization or business intelligence tools (e.g., Power BI, Tableau) is an advantage
