Job description
Radiation Protection Administrative Coordinator

The Radiation Protection Administrative Coordinator provides administrative and program support to the Radiation Protection (RP) team. This role is responsible for coordinating training maintaining compliance records supporting regulatory documentation managing data and reporting requirements and ensuring the efficient administration of the RP program.

The successful candidate will be highly organized detail-oriented and capable of managing multiple priorities in a fast-paced environment while maintaining a high degree of accuracy and professionalism.

This position is based in Port Hope Ontario.

What You Will Be Working On

  • Prepare and distribute daily RP roster reports.

  • Maintain RP training records and training matrices.

  • Coordinate new-hire orientations and training assignments.

  • Coordinate and track CNL security clearances.

  • Coordinate Group 3 training sessions and participant records.

  • Maintain electronic and hard-copy RP records.

  • Perform QA/QC reviews of RP documentation and records.

  • Process RP timesheets within InEight.

  • Maintain RP instrument inventories and calibration records.

  • Support procurement and tracking of RP equipment and supplies.

  • Develop and maintain weekly RP Zone Maps.

  • Prepare monthly RP reports and support full document submissions.

  • Revise and maintain RP procedures forms signage and related documentation.

  • Support the digitization and improvement of RP forms records and workflows.

  • Coordinate monthly corporate credit card reconciliations.

  • Provide general administrative support to the Radiation Protection team.

  • Ensure records reports and documentation are complete accurate and properly maintained.

  • Support internal and external audits through preparation of records and documentation.

  • Track and support corrective action close-out activities.

  • Assist with document control and records management activities.

  • Support continuous improvement initiatives within the RP program.

What We Are Looking For

  • Diploma or certificate in Business Administration Office Administration Project Administration or a related field.

  • Minimum 3 years of administrative project coordination records management or document control experience.

  • Experience working in construction industrial environmental nuclear regulatory or highly controlled environments is considered an asset.

  • Strong proficiency with Microsoft Office Suite (Excel Word Outlook Teams and PowerPoint).

  • Experience with SharePoint and electronic document management systems.

  • Exceptional organizational and planning abilities.

  • Ability to effectively manage multiple tasks and competing priorities.

  • Strong time management skills with the ability to meet deadlines.

  • Ability to maintain accurate tracking systems and records.

  • Meticulous attention to detail and accuracy.

  • Ability to identify errors omissions and inconsistencies in documentation.

  • Strong quality assurance and verification mindset.

  • Commitment to maintaining complete and well-organized records.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills and the ability to work collaboratively with various stakeholders.

  • Ability to communicate professionally and effectively with employees supervisors and clients.
