This is a full-time, 1-year contract position requiring a consistent on-site presence Monday through Friday, from 8:00 AM to 4:00 PM (with a 30-minute lunch break). Responsibilities
• Coordinate daily office operations and maintenance requests across two full floors to ensure a safe, clean, and functional corporate environment.
• Act as the primary liaison with building management regarding HVAC, lighting, janitorial services, elevator access, and structural maintenance.
• Manage and monitor the internal facilities ticketing system, responding to employee inquiries and maintenance requests promptly and professionally.
• Oversee third-party vendors, contractors, and service providers for office equipment, catering, coffee services, and specialized facility repairs.
• Maintain accurate inventories of office supplies, kitchen provisions, and facility assets, placing orders to prevent shortages.
• Coordinate office seating arrangements, desk setups, internal office moves, and space planning logistics.
• Administer building security protocols, including issuing employee access badges, managing visitor logs, and monitoring compliance with safety procedures.
• Conduct routine floor inspections to proactively identify maintenance needs, safety hazards, or equipment malfunctions.
• Assist with health and safety committee initiatives, ensuring emergency evacuation plans and first-aid stations are fully up to date.

Qualifications
• 2+ years of experience in a facilities coordination, office management, or business administration role within a corporate office setting.
• Previous experience managing large office spaces or multi-floor corporate footprints is highly advantageous.
• Strong familiarity with workspace operations, vendor coordination, and basic building systems (HVAC, electrical, plumbing logistics).
• Ability to comfortably commit to a 100% on-site role in downtown Calgary on a Monday-to-Friday schedule.
• Physical capability to perform light physical tasks associated with office organization, move coordination, and supply distribution.
• High school diploma required; post-secondary education or certification in Business Administration, Facility Management (IFMA/BOMI), or a related field is preferred.
