Timesheet Coordinator for our client. This is an excellent opportunity for a highly organized and detail-oriented professional who thrives in a fast-paced environment and enjoys working with data, payroll support, and cross-functional teams.
In this role, you will be responsible for coordinating the timesheet process, ensuring the accuracy and timely submission of employee labor hours, and supporting payroll and project reporting activities. The successful candidate will serve as the primary point of contact for timesheet-related inquiries and collaborate closely with employees, supervisors, project managers, payroll, and finance teams to ensure compliance with company policies and reporting requirements.

- Shift: 7:30am - 4:00pm

Responsibilities: - Coordinate the weekly, bi-weekly, or monthly timesheet submission process.
- Monitor timesheet completion and follow up with employees and supervisors regarding missing or late submissions.
- Review timesheets for accuracy, completeness, and compliance with company policies and project requirements.
- Validate labor charges against appropriate projects, work orders, cost codes, and charge numbers.
- Support payroll processing by ensuring approved timesheet data is submitted within established deadlines.
- Maintain records of timesheet approvals, corrections, and supporting documentation.
- Generate and distribute reports on timesheet compliance, labor utilization, and outstanding submissions.
- Assist employees and managers with timesheet system access, training, and troubleshooting.
- Identify discrepancies and coordinate corrections with employees, supervisors, payroll, and project teams.
- Ensure adherence to internal controls, financial reporting requirements, and audit standards.
- Support month-end and project reporting activities through accurate labor data management.
- Recommend and implement process improvements to increase efficiency and compliance.
Qualifications and Skills: - Post-secondary education in Business Administration, Accounting, Finance, Human Resources, or a related field is considered an asset.
- Previous experience in timesheet administration, payroll support, workforce administration, project coordination, accounting, or a related role preferred.
- Experience working with timekeeping, payroll, or workforce management systems is considered an asset.
- Strong organizational and time-management skills.
- High attention to detail and accuracy.
- Effective communication and customer service skills.
- Ability to manage deadlines in a fast-paced environment.
- Proficiency with Microsoft Excel, Microsoft 365, and timekeeping systems.
- Knowledge of payroll processes and project cost tracking principles.
- Ability to handle confidential employee information.
- Experience using timekeeping, payroll, or workforce management systems.
- Understanding of payroll processes and labor reporting principles.
- Knowledge of project costing, cost allocation, and charge code structures is considered an asset.
- Strong reporting and data management capabilities.
- Successful completion of a criminal background check is required.
- Mu st be legally eligible to work, and reside in Canada
