Status: Full Time

Hours: Monday – Friday, 35 hours/week

Home Campus: Fennell (fully in person)

Rate of Pay: Payband 10 ($88,983 - $111,230 per year)

Reporting to the Director, Equitable Learning, Health & Wellness, the Manager, Clinic & Operations, Health & Wellness Centre provides leadership and operational oversight of clinic services within the Centre. The incumbent is accountable for coordinating interdisciplinary service delivery across nursing, counselling, wellness care coordination, physicians, and front desk teams, ensuring effective scheduling, service flow, and access to care.

As a member of the Leadership team, the incumbent contributes to the planning and continuous improvement of services, supporting alignment with student needs and operational priorities. The role provides professional oversight of nursing practice and leads the development and implementation of procedures, workflows, and standard operating practices across the Centre.

The incumbent oversees clinic scheduling, resource allocation, and the effective use of systems and processes to support service delivery and operational continuity and monitors operational costs and revenues to inform resource planning and decision-making. In addition, the role maintains operational oversight of relevant clinical practices, including compliance with applicable standards, public health requirements, and the safe management of vaccines and medical supplies.

What you’ll be doing:

Clinic Operations & Service Coordination

  • Accountable for the coordination of clinic operations across the Health & Wellness Centre, ensuring effective service delivery, access, and flow of care across interdisciplinary teams ( nursing, counselling, wellness care coordination, physicians, and front desk support).
  • Develops and manages clinic schedules, including staffing, vacation planning, and coverage across all service areas to maintain consistent access and service continuity.
  • Monitors service demand, wait times, and utilization trends; adjusting scheduling, workflows, and resource allocation to respond to changing needs.
  • Works collaboratively with the Health & Wellness Centre Leadership team to identify service gaps, respond to student needs, and support implementation of new or enhanced service offerings.
  • Supports the coordination of outreach, satellite services, and clinic-based programming to ensure alignment with operational priorities.

Supervision, Leadership, & Clinical Oversight

  • Provides supervision and professional oversight to Health & Wellness Centre nursing staff, including orientation, performance management, and ongoing oversight of nursing practice.
  • Provides functional guidance and coordination across interdisciplinary team members to support aligned service delivery and effective clinic operations.
  • Participates as an active member of the Student Supports & Services leadership team, contributing to service planning, operational decision-making, and continuous improvement initiatives.
  • Oversees onboarding and integration of new staff and fosters a collaborative, team-based approach to service delivery.
  • Provides clinical expertise and guidance to nursing staff, ensuring care is delivered in accordance with professional standards, medical directives, and scope of practice.
  • Supports delivery of care in complex or high-demand situations, as required.
  • Coordinates and oversees the Health & Wellness Centre’s response to urgent or crisis situations, ensuring appropriate triage, communication, and collaboration across internal and external partners.
  • Ensures adherence to infection prevention and control practices, public health requirements, and relevant legislation.
  • Oversees public health-related processes including the ordering, handling, and management of vaccines, ensuring adherence to applicable guidelines.
  • Maintains awareness of current developments in health care practice and supports the integration of evidence-informed best practices into clinic operations at the Health & Wellness Centre.

Systems, Processes & Clinic Operations

  • Leads the development, implementation, and continuous improvement of clinic workflows, operational processes, and standard operating procedures (SOPs) across the Health & Wellness Centre.
  • Oversees the use and optimization of clinic systems, including scheduling processes and the Electronic Medical Record (EMR/CHR), and supports the extraction, analysis, and use of data to inform reporting, service planning, and clinic operations.
  • Develops, maintains, and updates clinical and operational procedures, including SOPs and medical directives in collaboration with the campus physician and Director.
  • Monitors and supports compliance with documentation standards, legislative requirements, and professional practice expectations.
  • Uses service data and operational insights to inform workflow improvements and support data-driven decision-making.
  • Prepares reports on service trends for internal and external stakeholders.
  • Contributes to resource planning and budget considerations related to clinic operations, staffing, and service delivery.
  • Tracks and reviews revenue streams associated with clinic services ( immunizations and clinic overhead revenue), ensuring accurate reconciliation and alignment with service delivery activities.
  • Provides financial insights by analyzing service demand, resource utilization, and cost pressures, supporting informed decision-making related to staffing, service levels, and operational priorities.

Documentation, Compliance, & Resource Management

  • Ensures compliance with legislated documentation, privacy requirements ( PHIPA/FIPPA), and clinical record-keeping standards.
  • Oversees maintenance of health records, clinical documentation processes, records requests, and reporting requirements.
  • Monitors inventory and usage of medical supplies, vaccines, and equipment, ensuring appropriate ordering and storage in accordance with guidelines.
  • Supports coordination of physician clinics and other specialized service delivery within the Health & Wellness Centre.

What you’ll bring to the role:

  • A Bachelor of Science in Nursing (BScN) and current registration in good standing with the College of Nurses of Ontario.
  • A minimum of 5 years of progressive experience in a health care or clinical service environment, including experience supervising staff and coordinating interdisciplinary clinical operations and service delivery.
  • Experience with venipuncture, TB skin testing, and immunization.
  • Experience with clinic operations, scheduling, resource/budget planning, and systems (, EMR/CHR) and supporting process improvement.
  • Experience and sound knowledge of equity, diversity, and inclusion practices within a health care setting.
  • Experience in a post-secondary or student services environment is considered an asset.
  • Demonstrated clinical nursing knowledge and skills, including the ability to guide nursing practice, interpret clinical situations, and provide direction in complex or high-risk care or emergency situations.
  • Demonstrated proficiency with clinic systems and technology, including Electronic Records Management (CHR), scheduling systems, and data reporting tools.
  • Strong analytic and problem-solving skills, including the ability to interpret service data and apply insights to support operational decision making.
  • Strong interpersonal and communication skills including the ability to de-escalate situations, manage complex, sensitive and urgent situations, and collaborate effectively with internal and external partners.
  • Knowledge of relevant legislation and professional standards governing health care practice in Ontario, including privacy ( PHIPA/FIPPA), infection prevention and control, and public health requirements.
  • Training in risk & threat assessment, mental health support and intervention, and de-escalation skills an asset.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
