Your opportunity:

Reporting to the Manager, Academic Program Reviews & Quality Assurance, the Programs and Curriculum Specialist engages in a broad range of activities requiring specialized knowledge of undergraduate and graduate curriculum and academic review processes. This role contributes to the creation, review and closure of academic programs, departments and units, as part of the University of Toronto Quality Assurance Process (UTQAP), which encompasses all undergraduate and graduate academic programs and academic units at the University of Toronto Scarborough.

Key duties include: 1) providing advice and support to academic units on curriculum development and modification processes, coordinating annual curriculum planning and approval activities, maintaining curriculum-related systems and documentation, and delivering training and guidance on the University’s Curriculum Management (CM) system; 2) coordinating the development, maintenance, and annual publication of the UTSC Undergraduate Academic Calendar and UTSC Academic Handbook; 3) coordinating administrative processes associated with academic program and unit reviews, including supporting external review activities and the preparation and distribution of related documentation; and 4) undertaking special projects and assignments related to academic programs, curriculum, and academic governance processes, as required.

Working closely with members of the Dean’s Office, Chairs, Program Directors, colleagues in the Registrar’s Office at UTSC, the Office of the Governing Council, and the Provost’s Office, the incumbent will work to ensure that these processes operate in accordance with the highest academic and procedural standards, thereby advancing UTSC’s academic aspirations and reputation.


Your responsibilities will include:

  • Building and strengthening relationships with stakeholders and partners of strategic importance
  • Advising staff on program curriculum change policies and procedures
  • Executing assigned tasks according to production schedules and project plans
  • Analyzing administrative processes and procedures and recommending changes for improvement
  • Keeping well-informed on University programs, policies and procedures
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Coordinating the production and distribution of communication materials
  • Conceptualizing, organizing and executing event activities

Essential Qualifications:

  • Undergraduate degree or an acceptable equivalent combination of education and experience.
  • Minimum five (5) years of recent and related experience in a post-secondary institution, including significant experience supporting curriculum development and modification, academic review processes, and academic approval processes.
  • Experience working within a quality assurance or regulatory framework, ideally within a university environment, and ensuring documents or decisions align with that framework.
  • Demonstrated ability to work independently and collaboratively, exercising sound judgment, discretion, diplomacy, initiative, and sensitivity when assessing and escalating issues.
  • Demonstrated ability to interpret, apply, and communicate complex policies, procedures, and administrative processes, and to act as a knowledgeable resource providing guidance and support to stakeholders.
  • Strong interpersonal and relationship-management skills, including the ability to establish and maintain effective working relationships with staff, faculty and senior academic administrators.
  • Must have strong oral and written communication skills, including demonstrated skills in developing readable, written instructional/informational resources in print and on the web; demonstrated ability to write in a variety of styles and formats, including reports, governance documents and procedures.
  • Demonstrated ability to manage multiple projects, competing priorities, and deadlines in a fast-paced environment while maintaining attention to detail, anticipating workflow requirements, and responding effectively to competing demands.
  • Demonstrated experience training others in the use of administrative tools and technology (e.g., Curriculum Management, Curriculum Publisher).
  • Strong analytical, research, problem-solving, organizational, and time management skills, with demonstrated ability to identify opportunities for and contribute to process improvements.
  • Demonstrated high level of proficiency with Microsoft 365 applications (Word, Excel, PowerPoint, Outlook, Forms, SharePoint, Teams) and document editing software (e.g., Adobe Acrobat).
  • Ability to assess stakeholder needs and act as a knowledgeable resource, providing guidance and support to inform decision-making.
  • Demonstrated knowledge of undergraduate and/or graduate curriculum development and academic governance processes.
  • Demonstrated commitment to accuracy, accountability, and attention to detail, with the ability to identify, investigate, and resolve discrepancies in a timely manner.
  • Demonstrated ability to adapt to changing priorities, procedures, and organizational requirements, and to incorporate feedback constructively into work practices.

  • Experience using Curriculum Management (CM) and Curriculum Publisher (CP), Drupal, and ROSI/ACORN.
  • General knowledge of University of Toronto academic policies and procedures and experience applying and interpreting University policies.
  • Experience with University of Toronto governance structures and approval processes.
  • Demonstrated ability and willingness to learn and leverage emerging technologies and digital tools to improve efficiency, service delivery, and administrative processes.
