We are currently seeking a welcoming and detail-oriented Part-Time Office Administrator to support the day-to-day operations of our office. This is an excellent opportunity to become part of a collaborative, client-focused team, with the potential for the position to grow into a permanent role.
The successful candidate will provide administrative support to the team while maintaining a positive and professional attitude. This role is essential to the smooth day-to-day operation of the office. As the first point of contact for clients and visitors, the successful candidate will create a welcoming and professional first impression that reflects the organization’s values. Working collaboratively with colleagues across the organization, they will help deliver an exceptional experience for both clients and staff.

Knowledge and Experience:
- 3+ years of experience in an administrative, receptionist, or office support role preferred
- Experience in office administration
- Intermediate proficiency in Microsoft Office, Excel, Microsoft Calendar, and CRM systems
- Polished and professional communication style, both verbal and written
- Strong organizational skills with a keen eye for detail
- Proactive, dependable, and able to work independently with minimal supervision
- Comfortable with standard office technology (phones, scheduling tools, Microsoft Office)
- Warm, service-oriented demeanor with a genuine interest in contributing to team success
Responsibilities:
Office & Facilities Management
• Maintain a clean, organized, and professional office environment throughout the morning
• Monitor and replenish office supplies, placing orders as needed
• Liaise with building management or vendors for facilities-related matters
• Ensure the kitchen is stocked, tidy, and well-maintained at all times
• Manage coffee, refreshments, and consumable supplies
Client Experience
• Warmly greet and welcome clients and visitors upon arrival
• Ensure reception and common areas reflect professional standards
• Anticipate client needs and contribute to a consistently positive experience
• Answer and direct incoming phone calls in a courteous and professional manner
• Take accurate messages and ensure timely follow-through
Team Collaboration
- Set up internal meeting rooms in advance, including materials, technology, and refreshments
- Coordinate room bookings and ensure meeting spaces are reset promptly after use
- Work closely with staff to support client-facing initiatives and internal priorities
- Assist with ad hoc tasks and projects as requested by the team
- This position may also be required to perform additional duties or special projects as assigned.
