Position Summary
The Program Administrator is responsible for coordinating and administering business support programs, services, and resources for entrepreneurs and small businesses. This role involves overseeing program logistics, assisting with client inquiries, overseeing program documentation, and supporting the delivery of workshops, funding initiatives, and networking events. The Program Administrator works closely with entrepreneurs, business owners, and community partners to foster economic growth and business success in the region.
Key Responsibilities
- Administer business support programs, including processing applications, tracking program participation, and maintaining accurate records.
- Provide front-line support to entrepreneurs and small business owners, offering guidance on available resources, grants, and programs.
- Assist with the coordination and delivery of business workshops, networking events, and educational sessions.
- Maintain program databases, ensuring accurate documentation and timely reporting on program performance and outcomes.
- Assist in the preparation of funding applications, reports, and presentations for internal and external parties.
- Support marketing and outreach efforts, including updating website content, preparing promotional materials, and working on social media engagement.
- Respond to inquiries from the business community, providing information and referrals to relevant resources.
- Collaborate with community partners, government agencies, and local organizations to support business development initiatives.
- Ensure compliance with program guidelines, municipal policies, and funding requirements.
- Assist in monitoring and evaluating program effectiveness, identifying areas for improvement and recommending adjustments.

Education & Certifications
- Diploma in Business Administration, Economic Development, Public Administration, or a related field.
Experience
- Minimum 2 years of experience in program administration, business support services, or economic development.
Knowledge, Skills, and Abilities
- Program Coordination: Ability to administer business support programs, track participation, and report outcomes.
- Communication: Strong verbal and written communication skills for engaging with clients, preparing reports, and delivering presentations.
- Marketing & Outreach: Knowledge of marketing strategies, social media management, and promotional content creation.
- Organization: Ability to manage multiple tasks, meet deadlines, and maintain accurate records.
- Financial Awareness: Basic understanding of grant funding, business financing options, and financial management for small businesses.
- Interest-holder Engagement: Ability to collaborate with community organizations, business leaders, and government agencies.
- Technical Proficiency: Proficiency with Microsoft Office Suite, database management software, and digital marketing tools.
- Customer Service: Strong interpersonal skills with a focus on enhancing customer experiences and service delivery.
Working Conditions
- Work is performed in an office, with occasional travel to meetings, networking events, and workshops.
- Standard business hours, Monday to Friday, with occasional flexibility required for business events and program-related activities.
- Cognitive demands include thinking critically when monitoring program performance or suggesting process improvements and managing competing priorities without losing track of important details.
- Physical demands include extended periods of sitting and looking at a computer screen.
