Job description

Reporting to, and under general direction of the Manager, Enrolment Services, the Enrolment Advisor’s primary responsibility is to ensure the coordinated implementation of the university’s prospect management strategy, while safeguarding the standards and ethics of Royal Roads University.

The Enrolment Advisors are often the first point of contact for prospective students and applicants and, in the process, foster and manage positive professional customer relationships built on trust. Enrolment Advisors focus on Customer Relationship Management principles to understand prospect needs and advise on admission qualifications and enrolment criteria, ensure timely expedition of information requested, and follow up with prospective learners from first contact through to admission. The Enrolment Advisor may also participate in various recruitment events, if required, and activities or projects related to planning, reporting, promotion and other enrolment initiatives.

Primary Position Outcomes:

  • Develop, implement, enhance and report on the University’s overall prospect management strategy, in conjunction with the University’s strategic plan and/or business plan(s).
  • Enhance the University’s reputation, inside and outside the University community, by providing excellent customer service and purposeful information to prospective learners and applicants.
  • Advise prospective learners according to their areas of interest, educational goals, and qualifications, while establishing and fostering positive, professional relationships built on trust.
  • Implement and administer an efficient information distribution system ensuring requested material is provided to prospective learners seeking entrance to all certificate, diploma, undergraduate and graduate degree programs.
  • Build and maintain relationships with internal stakeholders (e.g. faculty, program managers/directors, alumni office, university reception, recruitment, etc.) to discover and promote cross-divisional enrolment initiatives and foster mutual collaboration and consultation in support the prospect management strategy.
  • Maintain a fluent knowledge of and/or access to all available information about RRU programs, academic regulations, admission requirements, application requirements, educational agreements, recruitment activities, and relevant university initiatives/events, in order share that knowledge with prospective learners and applicants.
Job Requirements
  • Undergraduate degree in business or communications and three to five years experience in a post-secondary environment (preferably in the areas of student/academic advising, recruitment, counseling or similar), or an equivalent combination of education, training and experience.
  • Excellent interpersonal, written and verbal communication skills (presentation skills are a benefit).
  • A dedicated service orientation when dealing with all internal or external clients (i.e., potential learners, applicants, current learners, alumni, associate faculty, fellow RRU staff, agencies, etc.).
  • Excellent working knowledge of Microsoft Office and the ability to easily adapt to new software and systems.
  • Ability to multi-task while remaining process-driven and outcomes oriented.
  • Ability to build and maintain positive relationships with internal and external clients and stakeholders.
  • Ability to work independently or in a high-performance team with minimal supervision.
  • Be a disciplined self-starter, taking initiative where appropriate.

An ideal candidate would also possess:

  • Knowledge of the University, its programs, and the RRU learning experience.
  • Familiarity with database management software such as Agresso and Microsoft CRM (preferred but not required).

Note: Some occasional over-night travel may be required.
