Job description

This is a Temporary, Full-time (Maternity Leave Replacement 12-15 months)


Job Summary:


We are seeking an experienced Human Resources Generalist (12-15 months contract) who will be working with other members of the HR team on a variety of HR tasks. Reporting to the Senior Director of Human Resources and working closely with the Vice President of Finance, the HR Generalist will be assisting in day-to-day HR functions including full lifecycle recruiting and onboarding for a broad range of positions across regions, the design, development and maintenance of human resources related projects as well as overseeing all functions and deliverables associated with processing Canadian payroll (assisting with US payroll), ensuring compliance with applicable legislation, and for administering Canadian group benefits. This is a hands-on role that requires in-depth knowledge of payroll, benefits, recruitment and onboarding.



Responsibilities


Recruitment:

  • Assist with preparation of job postings, pre-screen candidates, maintain candidates database, coordinate and organize received resumes.
  • Oversee the end-to-end recruitment and selection process including assessing open mandates and determining the best recruitment vehicle(s), qualifying and interviewing candidates, performing reference checks, extending and negotiating offers of employment, and coordinating administrative aspects of new hires.
  • Develop relationships with hiring managers to gain a thorough understanding of the given mandates as well as the department culture, and use that understanding to help candidates fully understand the opportunity.
  • Lead post-interview debriefs with interview teams.
  • Create and maintain a pipeline of candidates through the use of social networking sites and job boards, creating and fostering relationships with educational institutions, and establishing and maintaining strategic relationships with select recruitment agencies.
  • Identify conferences, job fairs, hackathons, and other career and business events that offer recruiting opportunities.
  • Maximize company visibility and help build brand awareness to promote Haivision as an employer of choice.
  • Use data and metrics to analyze, monitor, measure, and improve recruitment factors such as time to fill positions, identifying the most effective recruitment sources, analyzing recruitment trends and challenges etc., and provide regular status reports.
  • Stay informed of trends and innovative recruiting techniques in order to be competitive in state-of-the-art recruiting practices.
  • Keep up to date with employment legislation relevant to recruitment.
  • Ensure a positive candidate-experience throughout the recruitment process and act as a Haivision ambassador.
  • Partner with other HR team members to create an end-to-end employee experience for new recruits.


On-boarding and offboarding:

  • Run background checks, prepare orientation packages for new hires, track employees’ probation period.
  • Schedule, coordinate and deliver new hire orientations and prepare orientation packages including contractual documents and government forms.
  • Monitor employee probation periods; follow up with supervisors as necessary.Coordinate employee departures, including departure paperwork and exit interviews.


Payroll:

  • Responsible for processing semi-monthly Canadian (Quebec) payroll using ADP Workforce Now. Provide minimal support for monthly payrolls for Germany and Spain.
  • Manage payroll compliance and taxation by ensuring proper system configurations that meet all provincial, state, and federal payroll legislation and regulations.
  • Perform retroactive pay and benefits calculations and apply bonuses and other compensation elements as needed.
  • Manage the processing of off-cycle pay and terminations, calculate pro-rated payments, prepare ROEs, and respond to inquiries from government agencies.
  • Ensure completion of year-end processes within prescribed government timelines, including annual production and distribution of standard and non-standard tax forms (T4s, T4As, RL-1, T2200, W2s etc.) to ensure they are issued in accordance with the CRA and other regulatory requirements.
  • Customize and generate reports for the HR and Finance departments as needed.
  • Maintain detailed records and documentation of payroll functions for audit purposes in accordance with statutory or ISO requirements.
  • Stay current on the latest regulatory changes with respect to payroll to ensure payroll policy adherence and compliance per province/state.
  • Working closely with the finance team, provide support on financial audits that require inputs from payroll.
  • Liaise with external agencies as needed, including CRA, Service Canada (ROE Web) etc.
  • Process employee expenses each pay period.
  • Assess and resolve escalated payroll issues and discrepancies.
  • Monitor vacation requests and vacation balances.


Benefits:

  • Act as the benefits subject matter expert and administer Canadian group benefits and retirement plans, employee assistance programs and all other group benefits.
  • Responsible for new enrolments, benefits onboarding and offboarding, and for coverage or salary modifications, and terminations.
  • Act as the main contact for employees for all Canadian benefits-related matters, and work with insurance providers and/or brokers to resolve claims issues.
  • Actively participate in the annual renewal review with brokers and communicate renewal changes to employees.
  • Review monthly insurance provider invoices for accuracy and forward to accounting for payment.
  • Coordinate benefits coverage and answer employee questions related to benefits.


Other tasks:

Training and organizational development:

  • Monitor the overall performance management program and calendar.
  • Coordinate training activities and research relevant training opportunities.
  • Maintain employee training documentation and histories in employee files.
  • Assist with upholding relevant QMS standards and completing audits as needed
  • Collect and manage training paperwork for Bill 90 requirements


Communications:

  • Communicate with employees on a regular basis regarding updates or notifications regarding all aspects of employment (i.e., holidays, policy updates, new programs, etc.)
  • Assist with written content communications in the form of newsletters, publications and memos to help create an environment of open communications.
  • Maintain employee data and statistics.
  • Act as a resource to employees and managers and counsel as necessary.


Policy maintenance and enforcement:

  • Maintain policy and program updates in the Haivision Employee Handbook.
  • Remain knowledgeable, ensure compliance with and answer general inquiries with regard to company policies, procedures and programs which govern employees.
  • Remain knowledgeable on HR functions and employment legislation.
  • Remain current with Health and Safety employment legislation.
  • Remain knowledgeable of, adhere to, and promote HR policies related to the Haivision Quality Management System.
  • Update Haivision Quality Management System HR related documents as necessary.


Other HR related tasks as required:

  • Assist with HR related legal files (i.e., cross-border visa applications, etc.).
  • Support various human resources department projects (i.e., implementation of new tools, HR procedure manual, etc.).
  • Maintain physical and virtual employee personnel files according to legal and company policies.
  • Draft and execute Employee Status Change Forms and maintain database of employee compensation



Skills and Qualifications

  • Bachelor’s degree with a specialization in Human Resources Management or related field.
  • Minimum of five years’ experience in a Human Resources Generalist role or similar position,
  • Expert in full lifecycle recruiting including, but not limited to, sourcing, qualifying, networking, assessing, legal, job analysis, wage and salary trends, and relationship management.
  • 5+ years of progressive Canada (Quebec), in-house payroll experience, with both salaried and hourly employees.
  • Solid knowledge and understanding of group health benefit plans and relevant regulations across Canada and the US.
  • Exceptional project management, interpersonal, and communication skills.
  • Strong initiative and solid judgment abilities/skills.
  • Excellent follow-up skills with the ability to multi-task and prioritize.
  • Strong command of the English and French language, verbal and written.
  • Member of the CRHA considered an asset.
  • Must have a proved strong focus on accurate and quality work with excellent organization skills.
  • Excellent administrative skills including proficiency with Microsoft Office applications including Outlook, Word, Excel and PowerPoint required.
  • Knowledge of ADP and SharePoint is an asset.
  • Must have an understanding of client and employee confidentiality.
  • Willingness to learn, and grow within the role.
