Matrix HR is partnering with a leading North American Energy Infrastructure Client company to recruit an experienced Materials Coordinator based out of Calgary, Alberta!
This is an exciting opportunity to play a key role in supporting major capital projects by ensuring the seamless coordination of materials from procurement through final delivery. Working closely with cross-functional teams, you will help ensure project materials are delivered accurately, on schedule, and to the correct location to support critical project milestones.
Position Summary
Reporting to the Manager, Material Coordination and Project Support, the office-based Materials Coordinator is responsible for managing all activities necessary to enable effective end-to-end coordination of materials in support of capital projects.
Working closely with Project Managers, Project Engineering, Project Controls, Supply Chain Contract Analysts, Supply Chain Buyers, Expediting & Logistics, Warehousing, Construction, and other key stakeholders, you will ensure the efficient identification, requisitioning, tracking, and coordination of project materials.
The core accountability of this position is to ensure project materials are delivered on time and to the correct location in support of project schedules.
Key Responsibilities
As the Materials Coordinator, you will:
- Incorporate material lead-time estimates from Supply Chain and develop schedules for placing material orders that align with project timelines.
- Review technical drawings with a high level of accuracy and attention to detail.
- Review Bills of Material (BOMs) with Project Engineers to identify materials to be supplied by the Company, Fabricators, or Construction Contractors. Reviews typically occur at the 30%, 60%, and 90% design milestones, as well as during final Issued for Construction (IFC) reviews to ensure all materials are captured within the Material Coordinator tracking system.
- Coordinate engineering design deliverables with Supply Chain to support the timely issuance of Requests for Quotations (RFQs) and subsequent purchase awards in accordance with the Material Matrix schedule.
- Collaborate with Materials Management and Warehouse teams to identify available inventory and surplus materials.
- Create SAP Purchase Requisitions and/or SAP Reservations for inventory materials using Bills of Material provided by Project Engineering.
- Request new Material Masters when suitable alternatives are not available within the existing SAP material catalogue.
- Monitor and support the expediting of critical project materials and components.
- Maintain and update Material Status Reports by working closely with Engineering, Purchasing, Expediting, Logistics, Warehousing, Fabrication, and Construction teams to track quantities, schedules, and material locations.
- Locate documentation and records, including Material Test Records (MTRs), required to support construction and commissioning activities.
- Resolve material discrepancies relating to quantities, quality, or supporting documentation across functional teams.
- Work proactively with Expeditors to anticipate material-related issues, including late deliveries, shortages, or damaged materials, and develop recovery plans to minimize project impacts.
- Ensure supplier and fabricator deliveries are expedited according to predetermined schedules to meet Required-at-Site (RAS) dates.
- Provide construction teams with all relevant material documentation.
- Coordinate the release and movement of materials between warehouses, fabricators, laydown yards, and construction contractors.
- Coordinate the physical receipt of materials at warehouses, fabrication facilities, project sites, and laydown yards.
- Enter Goods Receipts within SAP for applicable project materials.
- Identify surplus materials for transfer into inventory and/or Investment Recovery.
Qualifications
Minimum Qualifications
- 5+ years of experience in a project environment within the oil & gas, pipeline, power, or related industrial sectors.
- Previous experience in material management, including material coordination, procurement, logistics, warehousing, or related functions.
- General knowledge of materials and equipment used in pipeline and facilities construction.
- Proven ability to manage multiple high-priority projects while balancing competing deadlines.
Preferred Qualifications - Technical Diploma, Certificate, or University Degree in a related discipline.
- Experience working within the oil & gas, pipeline, or power industries.
- Experience with piping materials, valves, and fittings.
- Ability to interpret engineered drawings and Bills of Material.
- Strong proficiency with SAP, particularly requisitioning and receiving modules.
- Advanced Microsoft Office skills.
- Excellent written and verbal communication skills.
- Strong project management, analytical, and problem-solving abilities.
Required Experience
- Technical Diploma, Certificate, or University Degree in a relevant discipline.
- 5-10 years of related experience.
Location & Work Schedule
This position is based at the client's Calgary, Alberta head office and requires full-time onsite attendance due to the collaborative nature of the role.
- Location: Calgary, AB
- Schedule: Monday-Friday
- Hours: 40 hours per week (8-hour days)
- Contract Duration: This is a full-time, onsite, fixed-term contract anticipated to begin in mid-July 2026 and continue through mid-July 2027. While an extension may be possible based on business needs, it is not guaranteed at this time.
