About the Office of Vice Provost, Students
With a focus on responsiveness and empathy, the vice-provost, students oversees a portfolio of over 441 employees who work across the following core areas: The Office of the Registrar and Undergraduate Admissions & Recruitment; Athletics & Recreation; Student Affairs which includes student learning support, career services, housing, student life and community care (student conduct and advocacy, sexual violence support and education); Student Wellbeing which includes the medical centre, counselling, health promotion, academic accommodations and testing; and International Enrolment.

The Office of the Vice-Provost Students (OVPS) actively supports the university’s academic plan, and its strategic priority of enabling greater student engagement and success through exceptional experiences.

The Opportunity

Reporting to the Office of the Vice-Provost, Students (OVPS), this role leads the planning, coordination, and implementation of the pan-university Student Success Ecosystem Review. Acting as a project lead and student services subject matter expert, the incumbent translates strategic priorities into actionable project plans, coordinates complex initiatives across academic and administrative units, and ensures project milestones and deliverables are achieved.

The role conducts research, analysis, and environmental scans to support evidence-informed decision-making, while building strong relationships with university leaders to advance institutional student success priorities.

Key responsibilities:

  • Leads the planning and implementation of institutional strategic initiatives, including the Student Success Ecosystem review within the Office of the Vice-Provost, Students. Working closely with the university-wide project team, provides student success-related subject matter expertise.
  • Develops and manages project plans, defines project scope, objectives, deliverables, timelines, and success measures. Monitors progress against project milestones, identifies risk dependencies, and operational challenges, and develops strategies to support timely and effective implementation.
  • Builds and maintains strong working relationships with academic leaders, faculties, departments, administrative units, university partners, and external stakeholders, providing expert guidance, advice and support on student success related initiatives.
  • Organizes and facilitates consultations, interviews, workshops, working sessions, and project meetings with university leaders, faculty representatives, and administrative partners to ensure shared understanding of project goals and outcomes.
  • Conducts environmental scans, research, and comparative analysis to inform project planning, project development, implementation, monitoring, evaluation and continuous improvement.
  • Develops monitoring and evaluation approaches to assess the progress, impact and outcomes of assigned student success initiatives.
  • Supports senior leadership in coordinating institutional initiatives that involve confidential information related to workforce planning, employee matters and administrative decision making.
  • Prepares, coordinates and manages confidential briefing materials, consultation documentation, and project records, exercising a high degree of discretion in the handling and dissemination of sensitive information.
  • Ensures confidential information associated with institutional planning activities is managed in accordance with university practices, maintaining strict confidentiality when coordinating information across participating units.

Qualifications

  • Completion of a post-secondary degree in Education, Business Administration or a related field.
  • A minimum of 5 years’ experience of progressively responsible project management experience within the private, public or broader public sector, handling matters of a complex, confidential and highly sensitive nature.
  • Experience managing institutional student success initiatives.
  • Experience planning and managing complex, multi-stakeholder projects and initiatives, preferably in higher education or large institutional environments, including coordinating and managing staff.
  • Advanced knowledge of post-secondary, academic environment, university policies, procedures, governance structures, and administrative processes, including its rapidly evolving organizational structure, as well as the internal and external factors affecting it.
  • Advanced knowledge of student success theory, initiatives and institutional priorities.
  • Advanced capacity for data storytelling and translating complex enrolment metrics into actionable insights.
  • Strong project management and organizational skills, with the ability to manage multiple projects simultaneously.
  • Strong interpersonal, facilitation and relationship-building skills to work effectively with diverse stakeholders.
  • Analytical and problem solving skills, with the ability to assess risks, and develop practical solutions.
  • Financial and resource management skills, including budget planning and monitoring.
  • Ability to work effectively in a fast-paced, evolving environment, with sound judgment and initiative.
  • Equivalent experience or a combination of equivalent experience and education may be accepted in place of education.
