Administrative Assistant

Chaos Wrangler. You’re the kind of person who can coordinate six flights, three hotel bookings, two airport pickups, and one executive’s “quick little change” — all before your second coffee. You remember birthdays. You notice when someone’s energy is off. And when chaos starts creeping in? You don’t panic. You open another tab and handle it.
Sound like you? We’re looking for an Administrative Assistant who loves organizing travel, can keep our Calgary office running smoothly, and makes sure the behind-the-scenes details are handled so our team can do their best work.

Small Print ⇒ If the phrase “tight connection” doesn’t immediately raise your blood pressure, this may not be the job for you. We’re looking for someone who can coordinate travel with military precision, communicate with warmth and professionalism, and keep operational details from slipping through the cracks.

Someone who can chase down flight confirmations, manage hotel bookings, support conference logistics, keep office systems organized, handle confidential information with care, and make new hires feel welcomed from day one.

You’re well-travelled and understand the nuances of navigating airlines, layovers, customs, immigration, transportation logistics, and scheduling complexities. You know how to coordinate travel that’s efficient, cost-conscious, and low-stress for everyone involved. Flights. Hotels. Transportation. Summit logistics. Last-minute changes. You handle it all calmly and confidently — while keeping errors practically nonexistent.

You like a workplace that runs properly — stocked supplies, clean meeting spaces, working equipment, clear communication, and no mystery about who’s handling what. You’ll help set up and maintain our Calgary office, manage day-to-day office needs, communicate with the landlord, support OH&S requirements, and help create simple systems that make the office easier for everyone to use. You enjoy keeping files organized, calendars coordinated, and processes documented so everything runs smoothly behind the scenes.
