Job Summary

Go Global a systems-wide program provides international learning opportunities for UBC and partner university students. UBC graduate and undergraduate students have the opportunity to study research complete internships and global seminars around the world and learn from incoming students attending UBC as exchange and visiting research students. Working with UBC academic units Go Global creates partnerships with post-secondary organizations and communities to provide these opportunities. The Go Global Associate Advisor manages established learning opportunities with UBC academic programs through partner universities develops learning curriculum facilitates co-curricular workshops and advises students participating in international study research clinical or practicum placements. The Associate Advisor specializes in working with incoming and outgoing addition the Associate Advisor represents Go Global on university project teams and committees. The Associate Advisor will have strong project management and educator skills and be an exceptional communicator in a complex network of partners and UBC faculties.

The Global Engagement Associate Advisor is responsible for coordinating implementing and providing Go Global programs and advising services in order to support participation in and development of inbound and outbound UBC student mobility programs. This may include managing orientation and transition events and support developing and implementing recruitment strategies for specific UBC international learning programs and advising UBC students prior to during and following their international learning experiences. The Associate Advisor works with UBC and partner university faculty and staff using various information systems to support the execution of Go Global programs.


Organizational Status
The Go Global Associate Advisor reports directly to the Assistant Director Go Global and is a member of the Go Global: International Learning Programs unit within the Global Engagement Office. The incumbent interacts closely with UBC faculty UBC students and students from partner universities departmental and academic advising staff Enrolment Services and Student Affairs staff at both campuses as well as student mobility and academic staff at partner universities.

Work Performed

Student Advising:

  • Facilitates individual and group advising programs workshops and information sessions to support visiting international exchange and/or research students and UBC students applying to outbound exchange programs at partner universities.
  • Refers students to on-campus resources as needed (eg. academic advising offices Counselling Services Student Health Housing etc.).
  • Assesses students learning goals in order to advise students and help them identify international learning experiences in line with their personal academic and career goals.
  • Advises students about the process and requirements for application and admission to partner universities. Advisors teach students to manage complex information including how to use UBC and partner institution tools and submit successful applications. They evaluate students use of these tools; they investigate and resolve discrepancies or technical difficulties at UBC and coach the students in resolving issues with the partner institution systems.
  • Advises students prior during and post experience exercising judgment in forwarding and communicating complex inquiries to Go Global Advisors and Faculty and Departmental Advisors. Advises students on housing courses and admissions; assesses and admits students to various programs.
  • Assists students with course selection research at partner universities based on approved courses in Transfer Credit Portal and information provided by Faculties for recommended partners and pre-articulated courses.
  • Assists with the application process including application forms acceptance letters and transcripts.
  • Provides in-depth and timely information regarding Go Global opportunities.
  • Assists in developing and delivering educational programming to support UBC student learning pre-departure in-experience and post-experience.
  • Supports special programming (e.g. U21 summer programs structured research programs) by developing and implementing marketing and communications strategies for the programs developing and facilitating pre-departure sessions for students and advising students throughout the application process.
  • Coaches students on talking about their international experience to employers. Provides information makes referrals and encourages students to take action.
  • Interprets and applies University and Go Global policy in relation to individual students. Proposes exceptions to policy for individuals as required.
  • Identifies issues with current University and Go Global policy or program guidelines and implements changes. Follows office guidelines to liaise with the team the Assistant Director and other student service professionals to resolve these complex program-planning issues.
  • Connects students with resources and supports as appropriate including engaging the Universitys Early Alert system the partner university the Faculty and Student Safety Abroad Manager as needed.
  • Develops implements and evaluates programs meant to address current student concerns. These programs may include workshops and online resources as well as initiating cross-campus initiatives.
  • Works with other units to develop pathways and programs to support student transition to other student development initiatives.

Project Management:

  • Reviews and re-designs processes using input from colleagues students and other student service units as appropriate; implements changes in order to improve service and system use.
  • Develops and delivers programs for visiting students from other universities at UBC as part of exchange research and other learning programs. Ensures programs are based on established goals and sought outcomes.
  • Manages and coordinates events to promote and recruit students to participate in international learning experiences.
  • Participates in ongoing development of University and Go Global student information systems and services.
  • Participates in the development of new summer programming (outbound and inbound) and other strategic initiatives and programs.

Communication:

  • Develops and implements marketing and communication strategies for Go Global programs including developing marketing materials promoting programs and activities and assessing strategies.
  • Writes and develops content for web information and resources as well as revises and edits online program information.
  • Creates and maintains partnerships and relationships with a number of UBC departments units and faculties in order to support students engaged in international learning programs and improve advising processes.
  • Conducts research and prepares briefs data and reports related to best practices in international education student learning and development and career development relating to international experiential learning.

Administration:

  • Participates in the recruitment hiring and training of other professional advisors BCGEU staff and student-staff.
  • Participates in development of operating policy to improve efficiency within Go Global and in support of Faculty mobility initiatives.
  • May oversee student staff including recruitment discipline evaluation and termination.
  • May represent Go Global on university project teams and committees.
  • Performs other duties as required.


Consequence of Error/Judgement

Error will have a strong negative effect on student experience faculty partnerships and UBCs ability to maintain high performance international relationships with outstanding universities. Incorrect or incomplete information and/or inappropriate communication with UBC departments will significantly damage Go Global: International Learning Programs capacity to meet UBC strategic targets for international engagement and student learning and student opportunity including student finances and delay of graduation.

Supervision Received
Reports to the Assistant Director Go Global and is an integral member of the Global Engagement Office at UBC Okanagan and works in collaboration with Go Global staff in Vancouver. Works with staff in faculties departments student organizations and external partners and organizations. This position must exercise initiative and sound judgment. This position will bring strong knowledge of international education student mobility and communications.

Supervision Given
May manage student staff and student volunteers. Responsible for hiring evaluation discipline and termination. May supervise BCGEU staff as required.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience or an equivalent combination of education and experience

Preferred Qualifications

  • Experience in a post-secondary advising or other student services area preferred.
  • Previous experience in an international setting preferred. An academic international learning experience is a considerable asset.
  • Demonstrated experience communicating with a broad range of stakeholders.
  • Understanding of issues facing diverse students including underrepresented and equity deserving groups 2SLGBTQI BIPOC as well as demonstrated commitment to promoting and enhancing diversity equity and inclusion.
  • Demonstrated communication skills listening written and verbal organization and time management skills.
  • Demonstrated Interpersonal skills and cross-cultural sensitivity. Ability to use these skills and sensitivity in working with students staff faculty and international partners.
  • Demonstrated analytical and problem-solving skills. Good decision-making abilities.
  • Ability to work independently with initiative and effectively within a team environment.
  • Professional attitude demonstration of integrity confidentiality and excellent work ethic.
  • Ability to manage a wide range of responsibilities and to prioritize tasks within these areas.
  • Ability to work as part of a team on projects as a member who will take initiative and support others in their initiatives.
  • Information technology skills including word processing desktop publishing report design use of the internet etc.
