Job Title: Contracts & Reimbursement Specialist
Location: Markham, ON
Schedule: Day shift Monday to Friday
Hybrid must be able to come in the Markham office 3 times per month 88 McNabb Street
Employment Type: July start until end of December

Role Summary
The Contracts & Reimbursement Specialist is accountable for supporting customer reimbursement and billing validation activities. This includes careful review of customer invoices or claims, validation against historical records, and close coordination with internal stakeholders to ensure efficient approval workflows. The Specialist also provides day-to-day project support, ensuring all activities are tracked and communicated in alignment with established timelines and compliance requirements.
Key Responsibilities
  • Review customer-submitted invoices or reimbursement claims for accuracy by validating billed quantities, products, and timing against historical sales and shipment records.
  • Confirm eligibility and compliance with approved customer agreements, pricing terms, and contractual requirements.
  • Coordinate with internal teams (commercial, finance, operations) to facilitate invoice and claim approval processes.
  • Ensure customer account alignment, documentation completeness, and transaction validity prior to approval.
  • Proactively identify, escalate, and document discrepancies or exceptions in a timely and structured manner.
  • Assist the Project Manager with tracking project actions, supporting status updates, coordinating inputs, and maintaining comprehensive project documentation.
  • Support monitoring of project progress to ensure deliverables remain on schedule and within defined scope.
  • Maintain accurate records of validations, approvals, assumptions, and decisions to support audit preparedness.
Qualifications
  • Bachelor’s degree in Business, Finance, Accounting, Supply Chain, or related field, or equivalent professional experience.
  • Experience with invoice validation, reimbursement claims, billing support, or commercial operations.
  • Familiarity with reviewing transactions against sales history, shipment data, and contractual terms.
  • Project coordination or project management experience is an asset.
  • Strong attention to detail and accuracy with an ability to identify discrepancies and resolve issues efficiently.
  • Solid understanding of commercial, contractual, and compliance concepts.
  • Excellent communication and organizational skills and ability to work cross-functionally.
  • Proficiency with spreadsheets, trackers, and ERP or financial systems.
