Front Office Receptionist / Administrator (-Month Contract – Maternity Leave Cover)Location: Steeles and Weston Road
Compensation: Temp -Month Contract – Maternity Leave Cover
Start Date: August 7th, 6 or August , 6
Shift/Hours: Monday to Friday, 9: AM – 5: PM

Position Overview

Our client is looking for a highly organized, professional, and proactive Front Office Receptionist / Administrator to cover a -month maternity leave. As the first point of contact, you will manage incoming communications, intake new claims, and coordinate scheduling for our Emergency and Re-Construction departments. The ideal candidate thrives in a fast-paced environment, possesses strong digital literacy, and delivers exceptional customer service.

Key Responsibilities

  • Reception & Call Routing: Handle all incoming phone calls and general inquiries; accurately navigate and transfer callers to the appropriate internal departments.
  • Claims & File Administration: Intake and process new customer claims and project assignments. Set up new digital files and proactively contact customers to gather missing information.
  • Data Management: Input data, update files, and manage workflows using our web-based company portals and internal tracking systems.
  • Calendar & Dispatch Coordination: Control and manage scheduling for Emergency and Re-Construction department leads, ensuring their internal calendars are accurate and up to date.
  • Professional Correspondence: Compose and send professional emails to clients, partners, and internal staff.

Qualifications & Skills

  • Experience: Previous experience in a front office, reception, or administrative role (experience in logistics, dispatch, or construction/restoration is an asset).
  • Communication: Exceptional verbal and written English skills; strong grammar and ability to compose professional emails.
  • Technical Literacy: Proficiency with Microsoft Office (specifically Outlook and Excel) and comfort navigating web-based portals/management systems.
  • Attributes: Strong organizational skills, attention to detail, and a calm, professional phone manner when dealing with customers.
