Job Summary
Under the direction of the Associate Director, Academic Regulations, the Assistant Registrar, Registration and Degree Audit is responsible for jointly managing the degree audit process for the University, including encoding requirements in the degree audit client, evaluating student records relative to degree requirements, and coordinating registration set-up and training. The Assistant Registrar, Registration and Degree Audit develops and delivers training on reading and interacting with Degree Audit functions for students, advisors, departments, and faculties, for the Registrar’s Office, and broader university community. Advising (both holding dedicated student advising as well as instructor, departmental, faculty advising) is a core component of this role. The incumbent manages one full time staff that develop and build the academic timetables and formal examination schedules for all Dalhousie programs.
Key Responsibilities
- Manages the Degree Audit Reporting System, a complex software package that allows encoding of an institution’s degree rules and requirements.
- Plan, organize and co-ordinate registration procedures for all Dalhousie faculties. This requires liaison, negotiation and problem solving with faculty, administrators and staff of academic and administrative units across the university to ensure a smooth process is established.
- The Degree Audit Reporting System is available to faculty advisors, Student Services advisors, and students via the web. The incumbent is the provider of user support and training. Regular, ongoing advising sessions should be available to students.
- Generates degree audit batches for Faculties and Departments in support of Graduation eligibility assessments.
- Responsible for the daily management of 1 full time staff member.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
- Undergraduate degree and a minimum of five years of directly related experience at a post-secondary institution (or an equivalent combination of training and experience).
- Excellent problem solving, organizational, and negotiation skills.
- An aptitude for information systems and advanced knowledge of complex database systems.
- A good working knowledge of the student information systems, preferably DARS and Student Banner.
- Must also have a thorough understanding of Academic Regulations and the Academic Calendar.
