Job descriptionThe Near North District School Board is Hiring! 1.0 Full-time Permanent Executive Assistant to the Superintendent of Learning & Student and Family Support Office Effective Immediately The Near North District School Board is seeking a highly organized, collaborative, and service-oriented professional to serve as Executive Assistant to the Superintendent of Learning. This position provides confidential administrative support to the areas within the Superintendent’s portfolios. A key priority of this role is the leadership and oversight of the Student and Family Support Office, ensuring a responsive, accessible, and family-centered approach to addressing student and parent/guardian concerns. The Executive Assistant organizes and administers a broad range of administrative activities to ensure effective day-to-day operation . Location : North Bay Head Office (in-person) Duties and Responsibilities:Provide full confidential administrative and executive assistance to the Superintendent of LearningEstablish and maintain electronic and hard copy filing systemsCoordinate and attend committee meetings as required and be responsible for preparation and follow-up of agendas, minutes and correspondenceOversee the day-to-day operations of the Student and Family Support Office, ensuring a welcoming, respectful, and solution-focused experience for students and familiesResearch, anticipate and organize relevant data as neededProofread documents for accuracy, grammar and formattingResponsible for budget tracking and transfers as assignedPerform any required research and report compilation including updating of Board Administrative Guidelines & Operating ProceduresUndertake special projects and assignmentsClerical/administrative duties such as data entry, scheduling, answering phones, mail distribution, processing invoices and respond to routine inquiries and provide resolution to general inquiries and concernsCommunicate with a variety of contacts both internal and external dailySupport communication with families, schools, and community agenciesOther duties as assigned Qualifications:College Diploma in Office/Executive/Business Administration or equivalent combination of education and relevant experienceUp to 5 years of related work experience in a senior clerical or executive assistant position, including at least 3 years of progressive experience meeting challenges and seeking resolutions, preferably in a school board environment Skills Required: Exceptional customer service orientation and interpersonal skillsStrong organizational and case management abilitiesAbility to manage complex issues with professionalism and discretionDemonstrated experience working with confidential informationWell-developed planning, organizational and time management skills including ability to prioritize multiple projects and work independently with a high level of attention to detail and accuracyDemonstrated ability to interact effectively with a wide variety of people at all levels within the organization, external agencies and the general publicAbility to gather information, analyze, evaluate, formulate, and recommend an appropriate course of action as well as identify areas for improvement in efficiency of operationsExcellent verbal and written communication skills and listening skillsAble to demonstrate empathy, judgment, initiative, responsibility and common senseExceptional ability to discern and resolve issues presented with a high level of urgencyStrong computer skills in word processing, spreadsheets, presentation software and databasesKnowledge and comprehension of School Board operations, policies, procedures, operating guidelines and organizational structure is an assetCommitment to equity, inclusion, and culturally responsive practicesAbility to travel within the district, as required Salary: $74,127.00 annually Please ensure you have uploaded your applicable Educational Diploma(s) and/or Degree(s) to your Apply to Education Portfolio All applicants must be legally eligible to work in Canada The Near North District School Board is committed to supporting an inclusive and accessible environment.
