Job Summary

The Ontario Centres for Learning, Research and Innovation in Long-Term Care (Ontario CLRI) at Baycrest is seeking a highly organized and collaborative Project Coordinator to support a diverse portfolio of projects focused on knowledge mobilization, innovation, education, and research in long-term care. Reporting to the Manager, Knowledge Mobilization, the Project Coordinator will coordinate multiple concurrent projects and contribute to research and evaluation activities, including data collection, analysis, and reporting.

This role requires strong project management skills, comfort working in a fast‑paced and innovative environment, and the ability to collaborate with internal and external partners across the long-term care, research, education, and technology sectors. Many initiatives involve educational technologies, digital platforms, and the translation of evidence into practice, making this an ideal role for someone who enjoys both operational project work and applied research support.

Key Responsibilities

Project Coordination and Management

  • Coordinate and support multiple concurrent projects across Ontario CLRI, ensuring timelines, milestones, and deliverables are met.
  • Co-develop and implement project plans, including workplans, schedules, Gantt charts, RACI matrices, and risk/issue logs.
  • Monitor project progress and provide regular status updates to the Manager, Knowledge Mobilization and project teams.
  • Organize and facilitate project meetings and working groups, including agenda preparation, minute‑taking, documentation of decisions, and follow‑up task tracking.

Knowledge Mobilization, Education, and Innovation Support

  • Coordinate the development, implementation, and updating of educational products and knowledge mobilization resources.
  • Liaise with vendors, partners, and internal Baycrest teams to support delivery of digital initiatives.
  • Support dissemination activities such as conference submissions, presentations, workshops, and collaborator events.

Research, Evaluation, and Data Activities

  • Support Research Ethics Board applications across Ontario CLRI projects.
  • Coordinate qualitative and quantitative data collection activities (e.g., surveys, interviews, focus groups), including recruitment and logistics.
  • Conduct data entry, cleaning, management, and backups in accordance with project protocols.
  • Analyze qualitative and quantitative data and prepare clear summaries, reports, dashboards, and presentation materials for internal and external audiences.
  • Work collaboratively with internal and external research and evaluation partners to support timely reporting and knowledge translation.

Administrative and Project Support

  • Prepare reports, presentations, briefing notes, and other documentation for project teams, leadership, and funders.
  • Support digital file management, documentation standards, and version control across projects.
  • Contribute to continuous improvement by identifying efficiencies, risks, and opportunities across project workflows.

Qualifications

Education

  • Bachelor’s degree in a related field (e.g., education, health sciences, public health, social sciences, information science, eLearning, or a related discipline).
  • Master’s degree in a related field (e.g., health administration, education, research, or public administration) is an asset.
  • A combination of relevant education and experience will be considered.

Experience

  • Minimum of 3 years of relevant experience supporting multi‑project or multi‑site initiatives.
  • Demonstrated experience in project coordination or project management.
  • Experience supporting research and/or evaluation activities, including data collection and analysis.
  • Experience working in health care, long-term care, aging, or seniors’ services is an asset.
  • Experience supporting knowledge mobilization, educational initiatives, or innovation‑focused projects is an asset.

Skills and Competencies

  • Strong project management skills, including planning, coordination, prioritization, and deadline management.
  • Project Management Professional (PMP) certification or formal project management training is an asset.
  • Excellent organizational, analytical, and problem‑solving skills, with the ability to manage competing priorities.
  • Demonstrated ability to collect, analyze, and synthesize qualitative and quantitative data.
  • Excellent written and verbal communication skills, with experience preparing reports and presentations for diverse audiences.
  • High level of collaboration and interpersonal skills; able to work effectively with interdisciplinary teams and external partners.
  • Comfort learning and using new technologies and digital platforms.

Technical Skills

  • Proficiency with Microsoft Office and Teams
  • Experience with survey tools, data collection platforms, and basic data analysis software (e.g., REDCap, Excel, NVivo, R, or similar) is an asset.
  • Experience with virtual collaboration tools, learning platforms, and educational technologies is an asset.

Compensation

At Baycrest, we take pride in ensuring our compensation structure is internally equitable and compliant with pay equity legislation. We believe compensation should be transparent, equitable, and reflective of your experience and growth. Our salary ranges are structured to support progression, from learning the role to demonstrating full proficiency.

The salary range for this position is $58,386 to $72,983 per year.
