Job description
Are you organized, resourceful and have administrative experience? Are you looking to join a leading team in a company located in the heart of Saint Leonard?

We are seeking a highly skilled and bilingual office administrator to provide strategic support to our Vice President. In this pivotal role, you will act as a true right hand, managing everything from complex clerical functions and financial billing to international supplier relations and contract negotiations. The ideal candidate will possess the professional maturity to handle sensitive information and the communication skills to negotiate effectively on behalf of the company.

Responsibilities
.
• Manage financial processes including invoice preparation, purchase order requisitions, expense reporting, and support for budgeting, forecasting, compliance, and client invoicing.
• Assist in the development and improvement of administrative procedures and processes.
• Provide leadership support by attending senior-level meetings to coordinate agendas, prepare materials, and summarize action items.
• Be the right hand of the Vice President and take care of all clerical work including Billing, Emails, Speaking with suppliers and coordinating meetings.

Qualifications

Language Requirements (Bill 96 Compliance):

French is the official language of the organization in Quebec. However, this position requires an advanced proficiency in English (covering approximately 50% of the duties).

Justification for language requirements:
The incumbent will be required to collaborate daily with colleagues and business units located outside of Quebec—specifically with the Toronto-based team—who communicate exclusively in English. This ongoing collaboration is essential to:

Coordinate and deploy pan-Canadian marketing campaigns.

Maintain brand consistency and communication alignment across the organization’s business administration.

Provide the necessary marketing support for markets outside of Quebec.

Assessment of reasonable measures:
The organization has assessed internal resources and the specific responsibilities of this role. Due to the centralized nature of pan-Canadian campaigns and the requirement for daily interaction with English-speaking counterparts, the duties of this position cannot be reassigned to other team members without impacting operational efficiency.
