Job descriptionJob Overview The Operations Manager at Upper Canada Mall will oversee the ongoing maintenance of electrical and mechanical systems, as well as all physical aspects of the two retail facilities. The role supports real‑estate management, tenant and capital construction build‑outs, and various Oxford national initiatives. The manager will also be involved with development activities as required.
Responsibilities Operations
Managing operating costs by developing the annual operating budget, monthly accruals, and quarterly forecasts.
Managing third‑party contract relationships for performance, invoice accuracy, cost allocation, and variance analysis.
Conducting regular building inspections and supervising preventative maintenance programs, identifying cost‑effective solutions.
Analyzing utility consumption, allocating costs, monitoring tenant and building systems, investigating discrepancies, and implementing sustainable practices.
Ensuring HVAC equipment operates at maximum efficiency through clear operating procedures.
Implementing energy‑management programs and retrofitting building elements.
Planning and executing capital improvements, including budgeting, tendering, project management, and 10‑year planning.
Maintaining positive tenant relationships, ensuring lease‑outlined services and other operational matters are addressed.
Partnering with the Security Manager to coordinate EH&S/OH&S policies and keep MSDS sheets current.
Overseeing property curb appeal and physical upkeep.
Managing staff performance and fostering employee relations, including promotions, dismissals, feedback, training, and scheduling.
Implementing health and safety, fire, emergency, and environmental procedures in accordance with statutes and regulations.
Collaborating with the Development Team on major additions and future projects.
Presenting operational details to internal and external stakeholders.
Working with unions representing contract staff and trades workers.
Liaising with York Region building staff, inspectors, and emergency services.
Performing other duties as assigned by management.
Tenant Improvements and Construction
Partnering with the RDC team and the Upper Canada Mall Project Manager to assist with design and construction functions, including coordination of drawing review packages, engineer and consultant meetings, approval and permitting, attendance at site meetings, participation in final inspections, and administration.
Directing the Project Manager and coordinating on‑site tenant construction works to meet Oxford standards and ensure documentation is filed.
Reviewing and approving tenant construction drawings and monitoring progress to ensure compliance with OH&S and industry standards.
Assisting RDC and the Project Manager with landlord and tenant work, including review and approval of structural, electrical, and mechanical services.
Participating in the Fire Safety Plan and emergency response, ensuring operation and maintenance of fire and life safety systems, including emergency power systems in accordance with applicable codes.
Operational Excellence
Overseeing and managing all Operational Excellence programs related to Operations, ESG, and DEI.
Collaborating with Asset Management and Operational Excellence teams on reports and requested information.
Qualifications
Minimum 5+ years of operations management experience in large, complex commercial or retail environments, with project coordination, engineering, and contract management experience preferred.
Experience managing large, multi‑faced teams and negotiating with unionized contract staff.
Excellent tenant, landlord, and public relations skills.
FMA, BES, or RPA (BOMI) designation is an asset.
Strong contract management experience (HVAC, cleaning, security).
Experience with electrical and mechanical systems, including HVAC and life‑safety systems.
High level understanding of tenant building construction design and build‑outs.
Strong computer skills: MS Office (Excel, Outlook, Project, Word).
Excellent time‑management and adaptability in evolving, collaborative environments.
Flexibility with working hours to meet staff and property needs.
Understanding and execution of energy‑saving projects.
Familiarity with sustainability programs (e.g., LEED, BOMA) preferred.
Good understanding of government regulations.
Knowledge of blueprints, construction drawings, and schematic interpretation.
Contract and RFP experience.
Understanding of shopping‑centre or commercial real‑estate accounting principles and lease documentation.
Team‑building and culture‑shaping skills.
Compensation and Benefits Salary range:
$105,000–$130,000
per year. The incumbent may also receive an annual Incentive Award under our Short‑Term and Long‑Term Incentive plans (where applicable) and participate in group benefits and retirement plans. Detailed compensation information is included in OMERS & Oxford offer letters.
